Our Facilities and Operations Team provides the vital space, equipment, and infrastructure to build a collaborative environment for the design teams to dream, design, and create.
You will report to the Senior Manager - Facilities & Operations.
What You Will Do
Act as a representative for the Facilities and Operations Division on Project Teams, fostering relationships with owner/operators and maintaining adherence to budget and standards.
Develop program documentation (writing and defining scope, estimates, and schedules)
Ensure conformance to all divisional standards and procedures
Plans and coordinates smaller scale office & cube moves.
Assist with on-boarding new employees as they start work with the team.
Assist in record keeping and charges for project office space, warehousing, transportation, and mockup/lab space.
Coordinate and manage F&O Team meetings, including room reservations, virtual setup, and note-taking.
Assist with the mail system, which may include sorting mail, printing labels, signing for packages, and sending notifications.
Perform administrative duties including updating leader’s schedules and priorities including interview processes, IT updates, booking travel for the team, updating the business unit website, monthly billing/reconciliation and security clearance requests for park or campus locations.
Coordinate F&O team events, including organizing guest lists, ordering catering, booking venues, and assisting with setup and cleanup for various occasions such as birthdays, service anniversaries, learning sessions, interdepartmental events, and team-building activities.
Review inventory, generate Purchase Orders, and order supplies and other items for the business unit. This includes PPE items, nameplates, nametags, service awards, etc. Devise more efficient ways to maintain stock, lower costs, and connect with other teams for potential reuse/share.
Assist with Front Reception Desk duties, manage backstage clearances, and warmly welcome visitors, interviewees, and new employees.
Provide oversight for contracts, ensuring proper funding and timely closure, collaborating closely with various partners.
Coordinate third-party labor, ensuring completion of daily tasks, and manage emergency management planning requirements.
Required Qualifications & Skills
3+ years of facilities or coordination experience
Prioritize workload according to project target dates and handle interruptions throughout the day
Ability to successfully lead project teams including consultants, staff extensions, contractors, etc.
Ability to manage through and problem solve complex issues to resolution
Strong written and oral communication skills
Knowledgeable with AutoCAD is a plus
Education
- High School Diploma or equivalent experience/training in facilities/coordination

The hiring range for this position in California is $53,300 to $71,300 per year based on a 40-hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
