Working Hours: 40hrs Monday to Friday, plus some evenings, weekends and public holidays as required by schedule of concerts and events.

Role Description

We have a fantastic opportunity for an ambitious and hardworking Projects Assistant to join our busy Concerts and Events Operations Team on our full portfolio of festivals, concerts and events throughout the year.

This is a vital role within a fast paced and wide reaching department, providing essential administrative and planning support, coordinating with external stakeholders, suppliers, and venues, across a broad spectrum of tasks during the advance planning delivery of our projects.

The department is led by the Director of Concert and Event Operations, supported by the Head of Concert Operations and the Head of Event Operations.

Who you are

Competencies / Skills / Knowledge / Experience

  • Qualified to Degree or HND Level in Events, Business Management, or a relevant area of study or able to demonstratable experience working in the live music, events or venue management sectors.

  • Experienced in managing multiple administrative tasks to a high standard, demonstrating attention to detail and an ability to adapt to changing environments and priorities.

  • Experienced in using programmes such as Google Business Suite, Outlook, Microsoft Word, PowerPoint and Excel, with experience in producing high quality documentation.

  • Understanding of financial and administrative processes, minuting meetings and updating task management systems.

  • Ability to represent the company professionally with stakeholders, suppliers and community in a confident manner.

  • A passion for attending concerts, outdoor events and music festivals.

What the role includes

  • Support all aspects of concert and project administration, as directed.

  • Collate all necessary specifications, documentation and schedules from on-site suppliers to support project management teams.

  • Manage and appropriately share information from an essential and busy production mailbox, essential to the running of the concerts department.

  • Support the Head of Concert Operations and Concert Operations Manager during busy concert schedules.

  • This can involve working extended hours at live concerts in a variety of venues.

  • Coordinate procurement processes, from initial briefs and quotes, through to supplier onboarding, contracting and payment.

  • Take accurate minutes from all project meetings and distribute with the appropriate teams.

  • Liaise with and support temporary staff, students and volunteers, integrating them into the team and maximizing their experience working with us.

  • Assist the Concert Operations Manager in coordinating rotas for Concert Operations staffing and communicate all onboarding processes.

  • Work onsite during the build, break and show days to support with the management of the event office, the heart of our events.

  • Support company wide data capture across our event(s) to ensure we can report on goals and achievements and set future objectives.

  • Help coordinate project team debriefs, collating information to create presentations and reports as required.

  • Support the implementation and adherence to health and safety protocols during the planning and delivery of events, with an awareness of all DF Concerts policies and procedures, ensuring these are implemented where appropriate.
