Administrative Assistant

We are building a new state-of-the-art facility in Pleasant Prairie, WI. Training for this position will take place at our North Chicago location temporarily and transfers to Pleasant Prairie will take place once operations begin.

Opportunity summary:

This role provides administrative services to the departments as assigned and reports to Department Manager.

How you will impact WestRock:

  • Provides general administrative and clerical support to Business Unit General Manager and staff.

  • Collects, compiles, and analyzes moderately complex data and information.

  • Orders office and lab supplies

  • Maintain files for the department.

  • Creates and distributes department communication.

  • Continuously update employee training records.

  • Frequently interfaces with departmental management and hourly personnel.

  • Tracks work schedules, vacations, and personal holidays.

  • Create, edit, and respond to various communication (letters, emails, etc.)

  • Analyze / edit reports, presentations, and other miscellaneous items required by supervisors and other personnel using MS EXCEL, WORD, POWERPOINT, OUTLOOK, etc.

  • Maintain calendars, including coordination of meetings and appointments

  • Handle miscellaneous projects, as assigned

What you need to succeed:

  • Must have a high school diploma. (College degree preferred)

  • Minimum of three years of experience in administrative role, bookkeeping, or other closely related position.

  • Ability to surface issues and handle sensitive and confidential information in an efficient and professional manner.

  • Requires follow-up and attention to detail, with constantly changing priorities

  • Must be extremely organized, prompt, and reliable

  • Must possess a high level of diplomacy, tact, and judgement as well as an upbeat and positive attitude.

  • Ability to learn new skills quickly, work under pressure, work overtime as required, solve problems effectively, and handle multiple priorities.

  • Superior organizational skills with a high quality of accuracy and attention to detail in both written and verbal communication.

  • Demonstrate high level of proficiency in Microsoft Windows environment with an emphasis on Word, Outlook, PowerPoint, and Excel.

  • Ability to be proactive and self-directed while working professionally in a team environment to resolve issues and meet deadlines.
