Minimum Qualifications "NY HELPS Non-Competitive Minimum Qualifications: Administrative Assistant Trainee 1, NS (Grade 8): Six months of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration.Administrative Assistant Trainee 2, NS (Grade 9): One year of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Administrative Assistant 1, Grade 11: Two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and/or office administration. Certification (e.g., IAAP Certified Administrative Professional) or associate’s degree in office administration, secretarial science, administrative assistance, paralegal, business technology, or office technology substitutes for two years of experience.Reassignment & Transfer Opportunities: Current New York State Department of Health employee with permanent or contingent permanent status as an Administrative Assistant 1, Grade 11, OR current New York State employee with one or more years of permanent, contingent-permanent, or 55 b/c service as an Administrative Assistant 1.OR: Current New York State employee with one or more years of permanent, contingent-permanent, or 55b/c service in a position allocated to Grade 6 or above, and eligible for transfer under Section 70.1 of the Civil Service Law to Administrative Assistant Trainee 1. The selected candidate must pass a keyboarding test that demonstrates the ability to enter text at a rate of at least 30 words per minute with at least 96% accuracy by completion of probation.Preferred Qualifications: The preferred candidate will have strong verbal and written communication skills, good organizational skills, and the ability to work independently in a fast-paced environment and prioritizes multiple assignments. They will also be proficient in Microsoft Office Suite, eHIPS and the Safe Drinking Water Information System (SDWIS).
Duties Description The Administrative Assistant (AA) 1 will provide critical administrative support to the Geneva District Office. They will primarily be responsible for assisting the engineers within the water program. This will include handling and interpreting complex data and how it will impact the operators. The incumbent will enter all water quality data and compliance reports into SDWIS, organize the flow of paper in the office, triage the mail, file documents, and process permit and enforcement action fees. The AA 1 will also have limited responsibility for appropriately forwarding calls, taking messages, forwarding messages to appropriate staff, and covering other sections of telephone operations as needed.

A two-year traineeship leading to Administrative Assistant 1, Grade 11, is in effect. If placed at a trainee level, trainees will be required to take four mandatory courses the first year of the traineeship and four elective courses in each the second year of the traineeship in four competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency.
