Job Summary:

Plans, manage and a working lead for the staff service and business management functions for multiple areas under the Shared Administrative Services. Responsible for overall management of departmental administrative and technical services, staff coordination, policy and procedure development, strategic planning and special projects across multiple areas. Includes a variety of complex decisions with minimal direction.

Job Duties:

  • Responsible for day-to-day operational management and performance tracking of three clinical departments, the ASG, and assigned employees to ensure smooth operations.

  • Responsible for operational decisions related to strategic long/short-term plans to assure optimization and standardization of workflows in direct support of all departments in the ASG. Uses data driven performance measures to analyze workflows and propose optimization across academic departments and divisions.

  • Creates process improvement initiatives and coordinates implementation of standard workflows across the ASG. Uses LEAN and process mapping tools to propose optimization of workflows. Ensures equal distribution of resources across all assigned areas.

  • Leads department efforts in clinical benchmarking, operational reporting, division scorecards, management reporting, performance management, measuring trends and other project management activities as they relate to operations. This includes data collection, analysis, and modeling/forecasting. Uses ClinApps, Hospital Apps, Lighting tools, etc to collate data for analysis.

  • Responsible for ensuring standard and optimized workflows related to onboarding, credentialing, enrollment, clinic and OR template coordination, as well as offboarding activities. This includes establishing timelines, monitoring progress, identifying bottlenecks, and proposing solutions to improve performance. Works with Faculty relations, MedStaff, etc. to ensure timely onboarding and updating providers.

  • Active member of ASG Leadership group responsible for weekly reporting of assigned projects, staffing, and project progress across three departments.

  • Works collaboratively with internal and external customers monitor and align activities, performance, and outcomes across three departments

  • Coordinates the identification, monitoring, resolution and follow-up projects, goals, and operational issues using process mapping, PDSA tools, and active team management. This includes continuously assessing efficiencies and improving processes through quantifiable measures.

  • Actively manages teams to ensure mission alignment, cross-training, and coverage of all areas across three departments and the ASG

  • Analyzes trends and performance and identifies profitability improvements.

  • Troubleshoots problem teams and refocuses them to meet defined objectives.

Salary Range:

Commensurate with experience.
