Summary
The Project Planning Analyst Associate will be responsible for following the established protocols to ensure that the billing process reflects contract terms and conditions outlined by the Vegetation Management department in the Distribution Services (DS) organization. The Planning Analyst Associate will primarily assist in the coordination of invoice validation, encompassing documentation, tracking and communication, between the Vegetation Management Business Operations organization and Vegetation Management supply base.
Key Roles & Responsibilities
Directly or through others, the incumbent will:
Track various contract compliance controls and processes
Monitor and work with contractors to achieve contractual invoice compliance
Assist in documentation for monthly and quarterly contractor performance review meetings with internal and external stakeholders
Ensure compliance with contracted rate structures for Vegetation Management contractors
Research and identify gaps or discrepancies in supplier invoices make recommendations for corrective action, and track status of the resolution
Prepare reports of issues and resolutions to share with the Vegetation Management Team when necessary
Coordinate the timely validation of invoices submitted by Vegetation Management services contractors
Answer supplier inquiries regarding the Oncor electronic billing system in a timely manner and troubleshoot basic system errors
Train internal and external users on the usage and functionality of the Oncor electronic billing system
Add input to any and all existing data analytics dashboards to report on contractor billing KPIs
Perform all essential aspects and functions of the job as well as any other specific job requirements
Education and Experience
High School diploma, GED or equivalent required
Associate’s degree in a business-related discipline with 2 plus years of relevant experience, or Bachelor’s degree in a business-related discipline with minimum 1 year of relevant experience preferred
Experience in the utilities preferred
Skills
Attention to detail & strong organizational skills
Proficiency with Microsoft Word, Excel and Outlook
Experience using business analytics tools (i.e. Tableau)
Ability to work well under pressure and with minimal supervision
Ability to communicate effectively with all levels of internal and external team members, both verbally and in writing
Ability to accomplish results through others, particularly by establishing relationships, effective controls and monitoring process
Effective analytical, critical thinking and problem identification/resolution skills
Measures of Success
Ability to maintain ongoing relationship with construction contractors to ensure adherence to terms and conditions
Accurate and timely contractor KPI reporting
Bring issues and suggestions for improvement to management team’s attention
