Lockheed Martin Administrative Assistant Senior in Fort Worth, Texas

Description: The Lockheed Martin Aero 1LMX Organization is seeking an Senior Administrative Assistant reporting to the Program Director of Aero 1LMX/Digital Transformation and Director of Sustainment Information Technology.

This role includes frequent interaction with executives and Lockheed Martin personnel across the enterprise. This position is responsible for arranging and expensing high volumes of travel; managing Directors calendars; coordinating meeting support for conference rooms, guests, and catering; collaborating effectively with IT administrative staff; and supporting additional team members as time allows. This position is critical to ensure team efficiency and position Lockheed Martin for future business.

The selected candidate will possess excellent interpersonal, communication, and organization skills as proven in past assignments. Must have the ability to identify tasks requiring completion and the initiative to follow up and ensure completion. Employee must have the ability to interact well with individuals at all levels up to and including senior level company personnel. They must possess knowledge and a high level of experience with MS Outlook and MS Office software including Word, Power Point, and Excel. Familiarity with Lockheed Martin administrative systems and processes including LM Concur Travel System is preferred. Must be a team player and have the ability to handle multiple tasking with little or no supervision. Key attributes for a successful candidate would be high energy, positive outlook, outstanding communication skills, and flexibility.

Responsibilities include:

• Calendar and appointment management

• Travel reservations

• Expense report preparation and submission

• Maintaining office supplies

• Preparation, publication, and distribution of documents (weekly activity report, etc.)

• Primary meeting support (scheduling, Skype / Zoom / Microsoft Teams, dial-in phone numbers, charts)

• Meeting/event planning (catering, visit requests, facility / venue scheduling)

• Managing and coordinating conference room schedules and utilization

• Set-up and in-meeting support of multi-media / audiovisual / VTC equipment

• Managing shared folder access and usage

• Determine priorities in regards to non-routine situations and remedy commitments to maximize leadership efficiency

This position is in office Monday, Tuesday, and Wednesday, and typically teleworks Thursday.

Basic Qualifications:

• Proficiency in Microsoft Office including Outlook, Microsoft Word, Excel, Power Point.

• Experience in managing multiple emails, calendars & schedules.

• Experience in travel planning & expense reporting.

Desired Skills:

• Prior experience supporting senior level management (i.e., Senior Managers, Directors, and/ or Executive leaders)

• Must possess excellent interpersonal skills, and ability to work with all levels of staff, as well as external contacts including high levels of Company/Government personnel.

• Experience using mobile technology to handle work issues outside of normal work hours.

• Experience managing office supply procurement.

• Proven experience applying critical thinking to tasks and calendar prioritization.

• Strong organizational skills that reflect the ability to perform multiple tasks seamlessly with excellent attention to detail.

• Proven ability to handle confidential information with discretion, a high level of confidentiality is required.

• Be adaptable to various competing demands.

• Efficient and effective communication skills (written and verbal)

• Proficiency to act as the point of contact among executives, employees, suppliers and other internal/external associates with competence and professionalism.

• Capability to review requests, assess and route responses appropriately with sufficient follow up to completion and maintains confidentiality.

• Manages information flow in a timely and accurate manner with an ability to ensure attention to details.

• Adept at coordinating events, communication sessions ensuring all arrangements are successful.

• Ability to problem solve.

• Ability to work with minimal supervision, operate in a fast-paced environment, highly organized and detail oriented.

• Ability to manage multiple tasks simultaneously and quickly adjust to changing priorities.

• Ability to work well independently, but function within a team environment.

• Willing to occasionally tackle numerous disparate tasks not specifically called out in description.

Ability to Work Remotely: Part-time Remote Telework: The employee selected for this position will work part of their work schedule remotely and part of their work schedule at a designated Lockheed Martin facility. The specific weekly schedule will be discussed during the hiring process.

Work Schedules: Lockheed Martin supports a variety of alternate work schedules that provide additional flexibility to our employees. Schedules range from standard 40 hours over a five day work week while others may be condensed. These condensed schedules provide employees with additional time away from the office and are in addition to our Paid Time off benefits.

Schedule for this Position: 4x10 hour day, 3 days off per week
