Description

Coordinate and oversee the intake process for new cases, ensuring all necessary documentation is obtained and properly filed.

Assign cases to appropriate attorneys and paralegals based on workload, expertise, and availability.

Monitor case progress and deadlines, providing support and resources to legal teams as needed.

Maintain accurate and up-to-date case files, including correspondence, pleadings, and other relevant documents.

Manage billing processes, including timekeeping, invoicing, and collections, to ensure timely and accurate billing for services rendered.

Collaborate with attorneys to develop fee structures, budgets, and billing guidelines for clients.

Generate financial reports and analyze billing data to track firm performance and identify opportunities for improvement.

Address client inquiries regarding billing and resolve any discrepancies or concerns in a professional and efficient manner.

Supervise administrative staff, including receptionists, legal assistants, and clerical personnel, providing guidance and support to optimize productivity and performance.

Develop and implement office policies and procedures to streamline operations and maintain compliance with legal and regulatory standards.

Manage vendor relationships and negotiate contracts for office supplies, equipment, and services to ensure cost-effectiveness and quality.

Oversee facilities management, including maintenance, security, and space planning, to provide a safe and comfortable work environment for staff and clients.

Stay abreast of changes in laws, regulations, and industry best practices relevant to legal operations and implement necessary updates to policies and procedures.

Conduct periodic audits of internal processes and systems to identify potential risks and ensure adherence to ethical standards and professional conduct rules.

Collaborate with attorneys and compliance officers to address any compliance issues or concerns and implement corrective actions as needed.
