Jacobs Office Services Staff Assistant -Pompano Beach, FL in Fort Lauderdale, Florida

As an Office Services Assistant, you’ll join a collaborative team ensuring that our clients can deliver their services - uninterrupted. Based in Pompano Beach, FL, you’ll contribute to the success of our program by performing the following responsibilities:

  • Work with administration/office management to handle a variety of tasks throughout the day.

  • Property Inventory administration

  • Property Damage Claims administration

  • Ordering of office supplies

  • Fleet Administrator for TEAM. Provide driver maintenance assistance to reduce downtime for field operation staff. Update vehicle mileage and maintenance reporting database, maintain vehicles insurance, registrations, gas and maintenance cards. Monitoring pool vehicle for service maintenance as needed. Prepare all new fleet vehicles with proper safety equipment, and supplies.

  • Review and process all TEAM invoices for payment and enter into MyPayables for payment.

  • Update, compile data and reports in excel spreadsheets with the highest level of proficiency. File organization and maintenance.

  • 3-5 years of experience

  • HS graduate or equivalent

  • Proficient in Microsoft Office Products

  • Must have valid driver's license.

The work area can involve a working environment indoors, as well as, outdoors which could cause exposure to outdoor elements; proper environmental attire will be required. Some areas can have loud noise, active machinery, high pressure fluid systems, electrical equipment, confined spaces, heights and depths, fumes, air borne particles, noxious gases, pathogens and various chemicals. Safety is of the utmost importance. The use of appropriate safety equipment will be mandatory in these areas to prevent hazardous contact. Must be able to sit, stand, stoop, twist and bend at the waist, turn, kneel, squat, raise arms above shoulder height, grasp, reach, perform repetitive hand movements and fine coordination when preparing reports and using a computer keyboard, have vision sufficient to read computer screens, printed documents and operate office equipment, have hearing in the normal range with or without correction. In an 8-hour time period must be able to transport self across the facility, ascend and descend stair steps, lift objects up to 50 pounds from floor level to waist height, wear and use appropriate safety equipment.
