Niles Industrial Coatings Administrative Assistant in Fenton, Michigan
Summary of Position
The Administrative Assistant will be customer service oriented while performing various administrative and clerical tasks to support operations at our corporate office. This position will be responsible for several activities including scheduling, data entry, ordering supplies, and other clerical duties.
Essential Duties and Responsibilities
· Create a welcoming environment for guests and team members by greeting guests and visitors, creating team member name plaques, and maintaining the appearance of the front lobby
· Maintain and update team member photo wall in Fenton and work with Midland Administrative Assistant to maintain and update the virtual wall in Midland
· Manage culture-based gifts and cards for team members
· Order office supplies and food/drink items for the office and stock as needed
· Order and coordinate culture-based and meeting meals for the Fenton office and Silver Lane
· Maintain office supplies so they are orderly and easily accessible
· Manage inventory for Niles corporate swag and gifts
· Maintain files so they remain updated and easily accessible
· Distribute mail daily
· Book travel and hotel rooms for hourly field teams as needed
· Schedule travel for senior team members as requested
· Schedule meetings and appointments for senior team members as requested
· Create and submit expense reports for self and leadership as needed
· Assist with corporate events, including pre-planning research
· Assist with assembling gifts for meetings and retreats which may entail shipping packages and large mailings
· Will assist with Sr. Administrative Assistant responsibilities on backup status
· Will assist with Midland Administrative Assistant responsibilities on a backup status
· Assist with multi-department ad hoc projects as requested
Position Requirements

· 2-3 years in an office setting
· Proficient in Microsoft Office software including Outlook, Word, Excel, and PowerPoint
· Adobe a plus
· Excellent written and verbal communication skills
· Basic math skills
· Ability to maintain confidentiality and discretion
· Ability to collaborate with a team
· Ability to multi-task and maintain attention to detail
· Ability to follow multi-step instructions and take initiative when appropriate
· Desire to continue to learn and grow professionally
· Participate in administrative team meetings with the intent to contribute and help the team grow and develop best practices for use throughout the Company
· Flexible schedule to assist with tight-schedule projects that may require some after-hours work
· May require occasional travel, including overnights
· Ability to lift 50 pounds as needed
· Willingness to participate in self-professional development training
