Job Description

Platforms and Services Sector is hiring an Executive Assistant to support the Vice Presidents of Finance and Supply Chain and the sector senior leadership team. This position will be responsible for supporting a variety of duties and tasks, as well as day-to-day coordination of the Vice Presidents schedules. In this role, you will work on assignments that are complex in nature where independent action and a high degree of initiative are required in resolving problems and developing recommendations.
Responsibilities:
Serve as a representative of the VP s offices and the point of contact between BAE Systems Inc., Board members, Auditors, Advisors, and employees
Communicate effectively and engage with individuals at all levels of the organization
Maintain the VP s calendars and work as a team with other business EAs to manage the sector business calendar, engaging various internal and external stakeholders
Lead and assist with critical projects as a member of the team, including participating in key leadership meetings and employee development programs
Coordinate, facilitate, and provide support for executive level conferences, meetings, and events with a high degree of tact and diplomacy to include managing teleconference connections, arranging for catering, handling international guests, and creating PowerPoint presentations
Liaise across various functions to assist with developing agendas and preparation materials to ensure meetings and engagements align with business priorities
Work with Communications on coordinating events, distributions (vertical slices, all hands, etc.)
Arrange travel from organizing complex domestic and international itineraries through expense reporting for VP and other senior leaders
Coordination and management of meetings to include updating slides, ensuring slides are posted timely ahead of leadership reviews
Coordinate meetings to ensure a conference room/onsite location is included for group meetings
Draft meeting minutes and capture action items
Maintain and track meeting action items through completion
Maintain a variety of confidential and highly sensitive records containing private and proprietary data
Required Education, Experience, & Skills
High School Diploma/GED and 4 years of work experience or equivalent experience
Experience in Executive Assistance
Experience in Calendar Management, Meeting/Event Scheduling, and Travel Coordination
Experience in MS Office (Outlook, Word, Excel, PowerPoint), Microsoft 365, Teams
Ability to work in a fast-paced environment, multitask, and manage changing priorities
Ability to interact effectively with personnel at all levels, inside and outside of the organization
Ability to manage, organize, and structure data to support reporting and presentation needs
Ability to integrate information from a variety of sources into correspondence, presentation materials, or reports
Proficiency with word processing, presentation, spreadsheet, database, email, and calendar software
Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
Strong communication and interpersonal skills, with the ability to work effectively with senior-level executives and other stakeholders
Advanced level proficiency in Microsoft Office applications: Word, Excel, PowerPoint, and Outlook
Forward-thinking with problem-solving skills
Preferred Education, Experience, & Skills
Associate s Degree
Certified Professional Secretary or Certified Administrative Professional
Experience/Training in SharePoint, MS Project, Microsoft 365
Experience in creating or improving data/file/report management processes/dashboards
Experience in meeting/event coordination with 100 attendees
Experience in Defense/Government Contracting
Ability to think ahead, anticipate needs, and proactively identify and resolve problems
Pay Information
Full-Time Salary Range: $60390 - $96580
Please note: This range is based on our market pay structures. However, individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.
