Executive Assistant

Position Summary:

Our software helps infrastructure builders, maintainers, and operators to successfully and efficiently overcome the complex engineering challenges that they face every day. The Chief Marketing Officer leads an organization of 150 colleagues whose purpose is to elevate Bentley’s profile and drive organic growth as we reach new milestones for this high growth company.

We are now in search of an experienced Executive Assistant to support the Chief Marketing Officer in managing a complex array of responsibilities, relationships, commitments, and accountabilities. You are an excellent match for the job if you have experience working in a complex global business, you are highly proficient with a wide variety of business applications (office apps, ERP systems, etc.), and you can handle multiple tasks and requests with a clear sense of priority. In this role, you will also be providing ad-hoc support to the wider Leadership team within the marketing organization as needed.

Responsibilities:

  • Manage complex office administrative work requiring the use of independent judgment and initiative.

  • Manage the personal and professional calendar of one or more senior leaders, scheduling appointments as required.

  • Serve as a gatekeeper to filter incoming information and requests for meeting time with senior leaders and setting priorities, as appropriate.

  • Co-ordinate and produce quality information within the required timescales, including presentations, documents packs and spreadsheets.

  • Prepare senior leaders for meetings by researching relevant content and preparing talking points.

  • Administer meetings, ensure attendance and that the agendas are met. Take minutes at Senior Management meetings as and when required.

  • Work with the Senior Management Team, ensuring queries and documentation are completed/processed in a timely manner.

  • Provide support on internal projects, including management of deadlines, gathering of information, and ensuring deliverables are met by the team.

  • Organize and arrange travel and accommodation including provision of itineraries and administration of expenses thereafter.

  • Organize in-person leadership meetings including facility rental, catering, reservations

  • Take a pro-active approach on how to improve systems and processes.

Required Knowledge, Skills, Abilities, and Experience:

  • 5+ years’ experience as Executive Assistant or Personal Assistant experience supporting Senior Management.

  • Ability to always maintain confidentiality.

  • Exceptional attention to details and planning skills, with proven ability to multitask.

  • Ability to build a network and relationships.

  • Excellent verbal and written communication skills.

  • Used to working with different time zones and often asynchronously.

  • Ability to navigate complex situations with diplomacy.

  • Ability to produce high quality presentations and briefing packs.

  • Willingness to spend time understanding all areas of the business to be most effective at your job.

  • Hands-on approach and growth mindset.

  • Requires sitting or standing at will while performing work on a computer (or any other physical requirements (https://www.bls.gov/ors/factsheet/visual-overview-of-physical-demands.htm) ).

  • This role does not require travel.
