Job Description Summary

Administrative Assistant provides executive support in a one-on-one working relationship and facilitates agenda, travel, communications, and related items. Executes standard sales tasks and typically subject to instructions and work routines. There is latitude to rearrange the sequence to complete task/duties based on changing work situations.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The Administrative Assistant will have the ability to work independently on projects and must be able to handle a wide variety of activities and confidential matters with discretion.

Job Description

Roles and Responsibilities:

• Manage the schedule and customer meeting schedules, including day-to-day activities and larger scale events.

• Create presentations, communications and team operating rhythms for the business leader and others

• Coordinate key employee events

• Coordinate travel arrangements

•Assist with HR related functions including general recruitment and interview scheduling, cost management, onboarding

assistance

• Maintain customer confidence and protect business by keeping financial information confidential

• Compile and distribute letters, internal memos, and other communication with employees, vendors, customers, and business associates.

Essential Responsibilities:

•Act as an extension of the leaders, to think and plan-ahead, manage time super-effectively, and assist with scheduling, expense reporting, meeting agendas, operating rhythms and event planning.

•Clear communication skills, ability to assign tasks, explain processes, communicate objectives, and review/prepare organizational announcements.

• Collaborates and coordinates with other executive admins.

• Coordinate all details for local and international travel.

• Extensive / complex calendar management.

• Maintain accurate distribution lists for the department.

• Assist with scheduling conference rooms, catering, customer visits, as needed.

• Develop an understanding of key scheduling priorities and ensure that the Executive’s calendar is aligned with those priorities

•Actively review and highlight potential scheduling conflicts and take necessary steps to prevent them, in consultation with the Executive

• Plan, organize and prioritize meetings efficiently, rapidly responding to schedule changes and unexpected events.

• Implement the annual operating rhythm calendar including recurrent meetings with internal/external stakeholders.

• When managing travel plans provide with flights, hotels, car service arrangements and liaise with internal/external partners.

• Provide support to Leadership members, when necessary, for meetings, catering, trips, visa.

•Perform office management and administrative activities, with necessary expertise in GE tools for expense reports, IDM

approvals, shared box updates, Workday delegation, Teams live events.

• Organize and coordinate in-site/off-site events when necessary.

• Provide discreet and confidential coordination of sensitive information.

Required Qualifications:

High School Diploma / GED; Minimum of 3 years of administrative support experience
