JOB SUMMARY

Provides administrative support to the Vice President, Global Design and coordination with other staff, departments, offices and remote team members.

Administration

  1. Prepares a variety of documents using Word, Excel and PowerPoint and specialized applications.

  2. Files and forward traces a variety of paper and electronic documents.

  3. Processes incoming mail.

  4. Screens telephone calls

  5. Maintains office supplies and equipment for area.

  6. Processes consultant’s contracts and invoices

Coordination

  1. Prepare and processes expense reports.

  2. Maintains, collates and distributes all relevant department reports.

  3. Maintains various consultant and project databases using appropriate systems.

  4. Follows up on information with consultants.

  5. Copies and issues drawings and documents to consultants.

  6. Coordinates venue and agendas for various meetings.

  7. Coordinates all travel and hotel accommodation arrangements.

  8. Maintains calendars and schedules appointments and meetings.

  9. Responds to various requests for help and information.

  10. Acts as a central point of contact in the department.

  11. Performs other related tasks as assigned by management.

  12. Complies with Marriott Hotel Holding GmbH policies and procedures.

Candidate Profile

Education or Certification

• High School Diploma or equivalent required; Bachelor’s Degree preferred

Experience

• Senior Executive Assistant

Other

• Language: Fluent in English.

• Excellent knowledge of Word, Outlook, Powerpoint, Excel, and familiarity with electronic database systems such as Oasis.
