Summary The Program Support Assistant position provides administrative support for the Nurse Managers, Community Living Centers (CLC) and the Geriatrics and Extended Care (GEC) Committee, and Erie V AMC Nursing Services. The incumbent manages all office activities and provide administrative/clerical support to the Nurse Managers of the CLCs GEC Committee, QAPI, unit-based committees and Pathways to Excellence (PTE) activities. Responsibilities Work Schedule: Monday - Friday 7:30am-4:00 pm Position Description/PD#: Program Support Assistant/PD025980 Major Duties Include but not limited to: Coordinate the timely completion and submission of all action items due for the CLC and committees as noted. Coordinate and schedule interviews for job candidates for the CLC. Analyze data, compilation, collection, reports and provide program support and administrative assistance to the CLCs and GEC Committee. Resolve problems associated with the data analysis, administrative and clerical work of the office. Provide a complete range of program support which includes customer service coordination, scheduling appointments for the Geriatric Evaluation Management (GEM) clinic Managers through appropriate channels, data analysis, graphing, key control, and timekeeper duties for the CLCs. Maintain and manage completion of employee time cards. Serve as GEC Automated Data Processing Application Coordinator (ADP AC). Assist in collection, compilation and/or tracking of data and statistical information in support of the organization's GEC operations. Perform a basis analysis of the data and generates a variety of reports. Review documents, reports and ensure data entry is complete and accurate. Maintain automated system of GEC specific data to track items such as project progress reports, compliance strategies etc. Maintain a variety of files for administrative and professional activities including VA Central Office (V ACO) directives, local directives and policies, administrative and policy manuals, reports, Joint Commission on Accreditation of Healthcare Organizations (JCAHO), Office of Inspector General (OIG), and the Long-Term Care Institute (LTCI). Perform work related to the acquisition and/or development of program information and resource materials/personnel to support the policy development and/or technical activities of the organization. Perform a variety of administrative duties. Coordinate the timely completion of all meeting minutes and maintains tracking of approvals and committee minutes and agendas. Integrate several types of software to generate specific working documents and forms such as spread sheet, database, word processing, graphics and other similar products. Selects appropriate system, application and format. Prepare materials for publications such as pamphlets, forms, graphs, technical manuals or comparable items. Performs proficient clerical support, ensuring appropriate administrative processes are maintained.; Provides general telephone and visitor referral services; Prepares, composes, or reviews correspondence prepared for the purpose of obtaining or supplying information; . To qualify based on education for this grade level you must have completed 4 years above high school in any field for which high school graduation or the equivalent is the normal prerequisite. This education was obtained in an accredited business, secretarial or technical school, junior college, college or university. Transcripts are required. OR, Combination: Applicants may also combine education and experience to qualify at this level. You must have an combination of specialized experience and education beyond 60 semester hours (2 years) is creditable.
