Description

We are offering a long-term employment opportunity for a Administrative Assistant in Enumclaw, Washington. This role involves a wide range of administrative tasks within an industry where meticulous record-keeping and customer service are paramount. The workplace is dynamic, requiring the candidate to handle tasks such as guiding customers through procedures, managing schedules, handling correspondence and supporting an office team.

Responsibilities

• Facilitate the issuance of fire permits and guide customers through this process.

• Manage and organize electronic and paper files effectively.

• Assist in maintaining and controlling document records.

• Ensure the accuracy and professionalism of documents through proofreading.

• Efficiently manage general email inbox and correspondences.

• Coordinate the chief's schedule and set up meetings.

• Execute bank deposits and handle checks.

• Accurately and efficiently process customer credit applications.

• Maintain precise records of customer credit.

• Welcome guests from other agencies and handle mail distribution.

• Manage credit card related matters and submit expense reports.

• Record meeting minutes and notes during both off-site and regular meetings.

• Provide administrative support and manage a multi-line phone system.

Requirements • Minimum of 2 years of experience in a similar role or in administrative assistance

• Proficiency in using Microsoft Office Suite including Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience in handling multi-line phone systems

• Strong customer service skills with a customer-oriented mindset

• Excellent data entry skills with high attention to detail

• Strong interpersonal skills for effective communication and building relationships

• Ability to effectively organize files, both paper and digital

• Experience in managing email communications and correspondence

• Knowledge of document control procedures

• Ability to manage calendars, schedule appointments, and coordinate meetings

• Experience in taking meeting minutes and notes

• Ability to submit expense reports in a timely and accurate manner

• Experience in managing mail distribution within the organization
