BIENVIVIR SENIOR HEALTH SERVICES Progress Notes Clerk in El Paso, Texas

Bienvivir All-Inclusive Senior Health (Bienvivir) is a community-based, patient-centered, comprehensive health care delivery system that advocates and promotes quality of life, optimum independence, dignity, and choices in a nurturing environment for frail seniors. Since 1987, Bienvivir has served the frail seniors of El Paso, Texas through the provision of the Program of All-Inclusive Care for the Elderly (PACE).

PACE is a unique managed care benefit for frail seniors (referred to as participants) age 55 and older who are certified by the state as needing nursing home level care and who reside in a PACE service area. PACE programs coordinate and provide comprehensive medical and support services so that participants can remain independent and stay in their homes for as long as safely possible.

Bienvivir is currently accepting applications for the following position:

PROGRESS NOTES CLERK

Under the direct supervision of the Clinic Manager, the Progress Notes Clerk will follow up on all outside appointments to confirm appointment visit and request progress notes, test results, film, etc. from consulting specialist. The Progress Notes Clerk will enter relevant information into automated clinic system(s).

RESPONSIBILITIES:

  1. After the outside appointment is completed, the Progress Notes Clerk will follow-up with the specialists office to confirm the participant attended the appointment and update the appointment status in the EMR.

  2. Communicates with staff at the specialist office to obtain all progress notes from the specialist office. Will continue to make calls a designated number of times before a request of information is initiated.

  3. Updates the matrix by notating that paperwork was received and ensuring the information is updated in the EMR.

  4. Update the EMR with notations of when the calls were made, and the date and the name of the person spoken to.

  5. Provides updates to the Clinic Manager, Participant Manager and Appointment Schedulers on all pending progress notes and status of appointments.

  6. Works closely with clinic staff to ensure progress notes are promptly processed and uploaded to the Medical Records department.

  7. Maintains an established filing system, relevant documents and files as required to track workflow.

  8. Updates the automated system daily to reflect pending, completed, or received progress notes.

  9. Responsible for providing billing authorizations to specialist offices for participant procedures and appointments.

  10. Works closely with the billing and claims department to authorize all imaging and specialist consults.

  11. Works closely with Medical Records department using Provider Flow system to review, correct or update medical record documents.

  12. Prepares a variety of periodic and special reports that may require gathering of information from different sources and departments, compiling data and arranging it into a proper format.

  13. Maintains a record of all ER visits and requests all documentation and ensures upload to Medical Records department.

  14. Maintains accurate and timely data using appropriate automated system.

  15. Responsible for ordering all supplies for clinic and participant care needs.

  16. Cross trained to provide cover ge to the Medical Assistants for vacancies or absences.

  17. Effectively communicates and build professional rapport between clinic staff and physician/specialist office staff.

  18. Completes projects and performs other duties as assigned by DON and/or Clinic Manager.

QUALIFICATIONS / REQUIREMENTS:

  1. High School Diploma or equivalent.

  2. Medical Assistant Certification preferred.

  3. One to two years of medical and office/clerical work experience preferred.

  4. Bilingual preferred (English/Spanish).
