Position Summary

The Curriculum Scheduling Coordinator is a member of the Division of Medical Education in the College of Osteopathic Medicine. The Scheduling Coordinator provides coordination for the MSUCOM Doctor of Osteopathic Medicine preclerkship academic program schedules and co-curricular events at the semester, course, and group levels. Ensuring accurate and timely schedule information is an essential component of delivering the curriculum and providing a positive student experience. This includes entry and upkeep of this data into related software systems (mainly Medtrics). Additional projects may include helping to develop and implement workflows and training for curriculum and scheduling systems, providing related technical support, etc. This role supports Deans, Directors, Chairpersons, course directors, curriculum assistants, and other personnel in the coordination of scheduling details, data entry, and maintenance in curriculum and scheduling software systems while communicating related updates.

Additionally, this role participates in committees, workgroups, teams, and departmental meetings (e.g., semester and course planning meetings, unit meetings, etc.); Aids room and event scheduling requests and logistics specific to delivery of the preclerkship curriculum at the East Lansing site; Takes the initiative to ensure accuracy and timeliness in the development of the academic schedule; anticipates and responds to issues in a timely fashion, keeping other stakeholders informed and escalating problems when needed; Helps to develop and implement related workflows, training materials; Liaises with internal information technology team members and external software vendors to coordinate updates, testing, support requests, development requests, etc.; Pulls curriculum-related data and reports from curriculum and scheduling software systems to support continuous quality improvement; Completes other administrative duties as assigned to maintain overall operations of the unit.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; one to three years of related and progressively more responsible or expansive work experience in a professional office setting, performing secretarial and administrative tasks, including experience with scheduling meetings, data entry, payroll processing, office machines, email and internet usage or in performing tasks related to the area of employment; experience in word processing, spreadsheet, mail merge, database, calendaring, publishing, and/or presentation software; or an equivalent combination of education and experience.

Desired Qualifications

A bachelor’s degree or equivalent combination of education and experience is desired. Organizational skills sufficient to handle multiple tasks, manage multiple projects, prioritize, and meet deadlines. High attention to detail and accuracy. Familiarity with a wide variety of instructional and organizational technologies such as: learning management systems, cloud storage/collaboration systems, web conferencing applications, student information systems, relational databases, etc. Strong written and verbal communication skills. Experience working in higher education, particularly a medical school or health professions education environment, is preferred. Experience with medical or health professions curriculum management software is preferred (e.g., Medtrics, One45, Elentra, MedHub, Leo, New Innovations, etc.). Experience providing technical training, support, and/or troubleshooting is preferred. May require a valid vehicle operator’s license where needed to perform duties of the position. Other skills and/or physical abilities required to perform duties of the position. This position requires or will require prior to the completion of the probationary period: knowledge of basic personal computer terminology and operations, and a strong ability to utilize email and internet.
