Position Summary

The MSU School of Social Work is dedicated to educating students for ethical, competent, responsive, and innovative social work practice, and to conducting and disseminating high quality research that improves the well-being of the most vulnerable in society. Our teaching, research, and outreach synergistically promote social justice, positive change, and solutions to the problems facing diverse individuals, families, groups, organizations, and communities. More than 500 students are enrolled in our CSWE-accredited BASW and MSW programs, and PhD program.

This position will serve as the office assistant to the Director of Field Education for the Field Education Office. Will oversee and assist with the development and coordination of all administrative operations for this office.

The Office Coordinator serves on the field team and manages multiple areas related to the successful function of the Field Office. The Field Office is responsible to match approximately 67 undergraduate and 240 graduate students to field placements for our on- and off-campus sites. This position will serve as the primary customer service representative for the program. This involves: (1) first level contact for agencies and students involved with field placements for all campus sites; (2) maintaining data, running queries and creates and generates reports on a regular basis, and performing regular back-ups; (3) maintaining the Field Office budget and compiling monthly financial reconciliation reports; (4) appointing all clinical and program presenters and processing payroll through EBS; (5) enter timesheets in SAP; (6) responsibility for daily administrative tasks including maintenance of student folders related to field placements, program event files, scanning, emailing and other correspondence and communication methods; (7) composing, proofreading, and editing materials; (8) overseeing travel arrangements and reimbursements for the Field Office team; (9) generating annual reports and (10) schedules field orientations for students, liaisons and field instructors. In addition to this role on the field education team, the Office Coordinator serves on the School’s staff team and assists with School functions as needed. Participation in School events is generally expected.

Minimum Requirements

Knowledge equivalent to that which normally would be acquired in the first two or three years in college, technical school or related field; six months to one year of related and progressively more responsible or expansive work experience in customer service or in performing tasks related to the area of employment; or an equivalent combination of education and experience.

Desired Qualifications

A bachelor's degree in a business or human service-related field of study with three to five years progressively more related experience. This person must have strong interpersonal, organizational, analytical, and problem solving skills; ability to provide positive customer service; ability to establish and maintain effective working relationships with staff/faculty, all levels of organizational personnel and external field agencies; consistently demonstrates knowledge, skills, abilities, and behaviors necessary to provide superior and culturally sensitive service to field; a detail oriented, self-directed individual, able to juggle a variety of responsibilities and manage these under pressure; ability to handle confidential material with complete discretion; excellent grammar, spelling, writing, and proofreading skills and the ability to work independently, Strong skills in relation to Microsoft Word, Excel, Access, Adobe and Databases; experience in extracting needed data in proprietary databases and generating reports; experience in composing and editing correspondence; ability to successfully manage the MSU EBS systems including SAP and Kuali financial system is expected.
