About the role The Benefits Coordinator is a key role within the Quantum Health Total Rewards team. They assist in the daily administration of our employee benefits and wellness programs, in accordance with benefits compliance laws and guidelines. They manage many of the transactional aspects of employee benefits, including system tasks and invoicing, for health insurance, retirement plans, Paid Time Off (PTO) and Leave Of Absence (LOA) and other benefits programs. What you'll do (Essential Responsibilities) Administer various employee transactions related to employee group health insurance, life, disability, various supplemental coverage and 401(k), such as employee status, life events, reconciling 401(k) deferrals and loans, etc. Ensure compliance with company policies as well as benefits laws and guidance. Document and maintain the day-to-day processes related to employee benefits: new employee enrollment, qualifying events, terminations, status changes and COBRA administration. Manage the Benefits inbox and HR case management systems and address/respond to benefits questions in a timely manner; Direct/guide employees appropriately as it relates to leave/accommodations. Stay current with federal, state, and local regulations related to employee benefits, including healthcare reform (ACA), ERISA, and HIPAA; Assist in identifying how regulatory updates impact the internal process and procedures, recommend, and implement solutions to ensure compliance. Reconcile paid leave, PTO, and unpaid time for leave related absences; Update and submit pay records bi-weekly. Track and manage benefit invoices/payments in coordination with Accounts Payable. Support completion of annual requirements (gathering data for audits, reviewing ACA records, etc. Support HR-wide initiatives, such as process improvement work, change management, special projects, etc. All other duties as assigned. What you'll bring (Qualifications) Education: High School Diploma or General Education Development (GED) equivalent. Experience: 2+ years working in Benefits/Total Rewards or related benefits administration experience. General understanding of state and local laws governing employee benefits such as ERISA, HIPAA, COBRA to ensure compliance. Willingness to quickly become an expert on Quantum Health policies and benefit offerings. Strong technical experience with leading Human Resources Information Systems (HRIS)/Human Capital Management (HCM)/Payroll technologies. We use UKG Pro/Ultipro and Jobvite. Expert computer navigation and research skills; Ability to quickly learn and proficiently utilize various vendor administrative websites and databases. Strong Microsoft Excel skills; comfortable extracting and manipulating large datasets in support of HR projects. Enthusiastic, energetic, independent and detail-oriented approach towards work; Ability to consistently meet daily, weekly and monthly deadlines.
