About the Job:

We are seeking a dynamic and experienced professional that will be responsible for executing Facilities management maintenance operations of the assigned assets in accordance with the defined standards and processes with the objective of enhancing customer satisfaction, minimizing customer complaints and maximizing revenue and profitability of the assigned business unit.

An opportunity has arisen for Senior Executive to join Facilities Management . The main duties and responsibilities of this role:

Budgeting Support

  • Support the Manager in preparing yearly Opex and Capex budget and help in coordination with business units.

  • Responsible for the reviewing quotations and confirmation of WCRs for managers’ approval.

FM Operations

  • Conduct daily FM operations and monitoring activities for hard and soft services at the respective sites (including cleaning, waste management, civil, mechanical, electrical and plumbing works, and all specialized works) to ensure FM services are being delivered as per agreed SLA and prepare non-compliance reports for the assigned areas.

  • Ensure service provider attends all re-active service requests from various stakeholders and accomplishes them as per agreed SLAs.

  • Assist business partners and their contractors with details on the requirements related to technical aspects, FM issues, fit-out process and issue the necessary permits.

  • On-time escalation of incidents/complaints to relevant stakeholders such as Security, Business entities DHAM, DCM etc.

  • Periodic site walk/drive-through for the infrastructure and built-up areas to identify any major facility-related non-compliances.

  • Collect records of utilities expenditure and support in the implementation of sustainability and utilities cost saving projects and initiatives.

  • Conduct necessary inspection, witness testing & commissioning and manage rectification of defects and snags during the DLP in coordination with Asset Development and contractor.

  • Provide weekly reports on FM operations to manager.

  • Work closely with HSE team to identify all risks and develop and implement a closure plan.

Service Provider Management

  • Maintain effective communication with suppliers, business departments and clients and provide active support in the delivery of services by suppliers as per SLAs and QHSE standards.

  • Manage all fixed contracts such as Fixed FM contracts, STP maintenance, Landscaping, FM infrastructure contracts. Monitor the service provider’s performance and highlight / escalate issues to the Manager as required.

  • Conduct monthly meetings with FM service provider assess the contractor’s performance, HSE requirements, identify non-compliance and action plans.

Inter Department Coordination

  • Support the business development team in timely resolution of their queries related to facilities management in coordination with applicable internal departments.

  • Liaise with procurement department during the tendering process and support the Manager in reviewing vendor responses and issuing GRNs.

Customer Complaint Management

  • Ensure customer complaints are timely and appropriately managed and closed to achieve organization’s customer satisfaction targets.

  • Ensure Voice of Customers scores do not reach below the minimum defined scores for the FM Department.

Continual Improvement

  • Contribute to the process of identifying facilities management best practices and development of formal processes and practices as necessary towards integrating and embedding sustainable principles and strategies into daily operational practices.

  • Identify and recommend major improvements (technical and feel & look) required to enhance the existing facilities

  • Review and certify service provider’s monthly performance and payment certificate.

About you:

  • Bachelor’s Degree in Engineering or Facilities Management.

  • A professional qualification in real estate and / or facilities management (IWFM) or equivalent is desirable.

  • Minimum 5 years’ experience in facilities management (Mandatory Infrastructure experience 3 years).

  • Middle East FM experience is preferred.

  • Knowledge of facilities management functions, including hard and soft services, contract management, tendering etc.

  • Maintain a calm demeanour with the ability to remain un-flustered and maintain a cool head in different situations.

  • Excellent negotiation and interpersonal skills.

  • Excellent knowledge of maintenance and operations management.

  • Knowledge of Health and Safety standards is advantageous.

  • Understanding of statutory legislation as it relates to the built environment.

  • Ability to find pragmatic solutions and adapt to changing situations.

  • Good communication skills. Arabic is advantageous.
