JOB DESCRIPTION

Job Title: Administrative Assistant / Resource Assistant

*Reports to: *Assigned Management

Status: Non-exempt

This position is located in DuBois, PA 15801

Job Summary: Administrative team members are responsible for a variety of clerical tasks to support the daily operations of the ELRC. Team members are cross-trained to support all departments including Quality and Family. Positions work closely with all ELRC staff members and support all tasks as assigned by leadership and management.

Examples of Essential Duties and Responsibilities:

· Answers telephone, mail, scan and email requests, connecting all requests to the appropriate staff person (s).

· Sorts and distributes mail and faxes.

· Enters information into PELICAN database and internal tracking systems.

· Maintains call and walk in logs and works with team members to schedule the parent conference room.

· Prepares family file folders with appropriate labeling for specialists.

· Prepares family application packets.

· Assists all staff with mailings (postcards, letters, flyers, etc.) Assists in making phone calls as assigned.

· Works closely with the leadership and management in maintaining and updating policies and procedures.

· Develops and maintains positive working relationships with families, staff members and other partners.

· Participates in internal and external professional development programs, meetings, and opportunities to augment professional skills.

· Greets visitors to the building and ensures they sign in, and the person they are visiting is notified.

· Assists special initiatives related to supporting providers and families.

· Performs other duties as may be required within the scope of the company's functions.

Necessary Knowledge, Skills and Abilities:

  • Strong customer service skills
  • Ability to communicate effectively and work productively and collaboratively with employees, government agencies, service providers, program participants, human service organizations, educational institutions and other key partners in a positive, professional, and pleasant manner in writing, by phone and in personal contacts
  • Ability to maintain a high level of confidentiality and sensitivity in all working relationships
  • Ability to organize, prioritize and establish schedules to accomplish program goals and evaluate the delivery of service and program objectives
  • Ability to provide management with timely and accurate reports and recommendations
  • Ability to maintain complete, accurate and accessible files and records
  • Working knowledge of personal computers and networked systems and their use and application for database management, tracking and reporting in a human services or similar environment
  • Working knowledge of Microsoft Office Suite, including but not limited to Word, Excel, Access, PowerPoint, Outlook and Publisher components
  • Ability to plan, organize and carry out assignments and responsibilities on time, correctly, in a professional, effective, efficient and independent manner

Other Requirements:

  • This position includes the normal physical demands associated with work in an office environment, including lifting, bending and carrying; and travel to other facilities within the region.
  • This position requires availability and flexibility to participate in services, programs and activities during regularly scheduled workdays, evenings and weekends

Job Type: Full-time

Pay: From $15.00 per hour

Expected hours: 40 per week
