Job Summary:  Provides administrative assistant support in the school administration office to ensure the accurate and thorough administration of student affairs.

Qualifications:  To successfully perform this position, a person must be able to perform each primary duty satisfactorily.  The qualification requirements listed below represent minimum levels of educational achievement, training, skills and/or ability necessary.

 

  1. High school diploma with a minimum of three years experience in a similar position.
  2. Ability to operate a computer and knowledge of word processing and spreadsheets.
  3. Bookkeeping/record keeping skills.
  4. Effective interpersonal skills with the ability to diplomatically interface with students, parents, teachers, and administrative staff.
  5. Strong written and communication skills.
  6. Excellent secretarial and clerical skills.
  7. Proficiency in the use of technology for individual and system management, communication, and research.
  8. Candidate must adhere to all local, state, federal, and school code requirements for employment.

Duties & Responsibilities:  (Please review the attached Job Description for more details on this specific opportunity)

  1. Answers incoming calls.
  2. Acts as receptionist, answering questions and supplying information.
  3. Assigns homerooms and lockers to students annually.  Issues room keys to school personnel.
  4. Processes and tracks requests for personal days from teachers and support staff.
  5. Processes, tracks, and files daily substitute attendance from Substitute Teacher Service (STS) for teachers and paraprofessionals.
  6. Processes, tracks, and files attendance for paraprofessionals.
  7. Schedules class coverage for teachers and paraprofessionals as needed.
  8. Processes, tracks, and files all student discipline referrals from all administrators for in-school suspension (ISS), out-of-school suspension (OSS), after school detention, lunch detention, etc.  Coordinates work for students with teachers and communicates with ISS teacher and ISS bus drivers.
  9. Processes homework contracts from administrators.  Coordinates student contract violations with teachers, parents, and students.
  10. Maintains calendars for both assistant principals.
  11. Keeps financial records for all activity accounts.
  12. Oversees principal's account.
  13. Distributes student 504's to appropriate staff.
  14. Assists with all aspects of student and teacher scheduling.
  15. Assigns room usages.
  16. Assigns mailboxes.
  17. Assists office co-workers as needed.
  18. Creates and maintains position procedure outline to describe daily duties of the position/department as needed.
  19. Files purchase orders and bus incident reports for Administration.
