Job Summary: Provides administrative assistant support in the school administration office to ensure the accurate and thorough administration of student affairs.
Qualifications: To successfully perform this position, a person must be able to perform each primary duty satisfactorily. The qualification requirements listed below represent minimum levels of educational achievement, training, skills and/or ability necessary.
- High school diploma with a minimum of three years experience in a similar position.
- Ability to operate a computer and knowledge of word processing and spreadsheets.
- Bookkeeping/record keeping skills.
- Effective interpersonal skills with the ability to diplomatically interface with students, parents, teachers, and administrative staff.
- Strong written and communication skills.
- Excellent secretarial and clerical skills.
- Proficiency in the use of technology for individual and system management, communication, and research.
- Candidate must adhere to all local, state, federal, and school code requirements for employment.
Duties & Responsibilities: (Please review the attached Job Description for more details on this specific opportunity)
- Answers incoming calls.
- Acts as receptionist, answering questions and supplying information.
- Assigns homerooms and lockers to students annually. Issues room keys to school personnel.
- Processes and tracks requests for personal days from teachers and support staff.
- Processes, tracks, and files daily substitute attendance from Substitute Teacher Service (STS) for teachers and paraprofessionals.
- Processes, tracks, and files attendance for paraprofessionals.
- Schedules class coverage for teachers and paraprofessionals as needed.
- Processes, tracks, and files all student discipline referrals from all administrators for in-school suspension (ISS), out-of-school suspension (OSS), after school detention, lunch detention, etc. Coordinates work for students with teachers and communicates with ISS teacher and ISS bus drivers.
- Processes homework contracts from administrators. Coordinates student contract violations with teachers, parents, and students.
- Maintains calendars for both assistant principals.
- Keeps financial records for all activity accounts.
- Oversees principal's account.
- Distributes student 504's to appropriate staff.
- Assists with all aspects of student and teacher scheduling.
- Assigns room usages.
- Assigns mailboxes.
- Assists office co-workers as needed.
- Creates and maintains position procedure outline to describe daily duties of the position/department as needed.
- Files purchase orders and bus incident reports for Administration.
