Downingtown Area School District 10 month Administrative Assistant - Receptionist/Clerical in Downingtown, Pennsylvania

Position:   10 month Administrative Assistant - Receptionist/Clerical Locations: Brandywine Elementary School Pay Rate: $19.63 per hour Schedule: 7 hours per day, 5 days per week, 210 days per year (10-months) Benefit Eligible: Yes Effective Date: October 14, 2024

Job Summary:   To assist in ensuring that all students attend school on a regular basis and to provide timely and accurate student attendance reports to the faculty.

Qualifications:  *To successfully perform this position, a person must be able to perform each primary duty satisfactorily.  *

 

  1. High school diploma plus one year experience in similar position
  2. Good communication and interpersonal skills
  3. Good administrative support, clerical, and computer skills
  4.  Ability to work independently and have good organizational skills
  5. Ability to operate standard office machines
  6. Proficiency in the use of technology for individual and system management, communication, and research
  7. Must successfully complete and maintain compliance with all federal and state background and criminal record check requirements
  8. Candidate must adhere to all local, state, federal, and school code requirements for employment. 

Duties & Responsibilities:(Abbreviated - Please review the attached Job Description for more details on this specific opportunity) 

  1. Assists the principal in the daily operation of the office
  2. Welcomes and assists parents, students, and teachers including answering questions and taking messages
  3. Answers telephone; sorts and distributes mail
  4. Maintains records and files for daily attendance and handles attendance hotline. Processes enrollment and withdrawal records
  5. Processes kindergarten registration forms and makes student files
  6. Maintains, updates, and files student records
  7. Provides backup for 12-month Administrative Assistant
  8. Prepares daily bulletin using word processing
  9. Coordinates facility usage using current software system
  10. Ensures safe dismissal of all students to appropriate adult, day care van, or school bus
  11. Maintains student releases
  12. Checks in supply orders during school year
  13. Assists Home and School Association as needed
  14. Assists in creating concert programs -- sets up, types, illustrates, copies, and assembles
  15. Schedules student assemblies
  16. Arranges transportation for field trips
  17. Maintains monthly school calendar
  18. Acts a iaison with security service
  19. Counts monthly menus for distribution
  20. Creates and maintains position procedure outline to describe day to day duties of the position/department as needed.
