Description We are searching for a proficient Executive Assistant to join our team in DETROIT, Michigan. This role offers a contract to permanent employment opportunity in the bustling environment of our event coordination industry. The successful candidate will be instrumental in renting out conference rooms, coordinating events, and working directly with board members. You will also provide direct assistance to the CEO, demonstrating a high regard for professionalism while maintaining a keen eye for detail.

Responsibilities:

• Coordinate and manage events, ensuring the smooth operation of all logistics.

• Rent out conference rooms to the public, managing all scheduling and customer relations.

• Work directly with board members, providing administrative support as necessary.

• Assist the CEO directly, handling all administrative tasks and ensuring efficient operations.

• Maintain a high regard for professionalism, showcasing strong interpersonal and communication skills.

• Take detailed notes during meetings and distribute them accordingly.

• Spearhead process improvement initiatives to enhance operational efficiency.

• Utilize Microsoft Office Suites for various tasks, demonstrating proficiency in these tools.

• Manage calendars, coordinating schedules and ensuring timely communication of any changes.

• Exhibit a self-efficient, resourceful, and self-starting attitude, taking initiative when necessary.

Skills:

• Proficiency in Administrative Office tasks.

• Proficiency in Microsoft Office and ability to Coordinate Meetings.

• Experience in Department Meetings and ability to Distribute Meeting Minutes.

• Capacity to Prepare Meeting Materials and record Meeting Minutes. Requirements • Proficiency in Administrative Office tasks, with a strong focus on organization, prioritization, and multitasking.

• Proficient in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.

• Ability to coordinate meetings, including scheduling, sending invites, and confirming attendance.

• Experience in organizing department meetings, ensuring all necessary attendees are present and informed.

• Ability to distribute meeting minutes accurately and in a timely manner.

• Skilled in preparing meeting materials such as agendas, presentations, and reports.

• Proven experience in recording and transcribing meeting minutes accurately.

• Strong written and verbal communication skills.

• Ability to maintain confidentiality and handle sensitive information with discretion.

• Strong problem-solving skills and the ability to work under pressure.

• Proven ability to work in a team environment and independently.

• Demonstrated ability to manage multiple tasks and deadlines.

• Excellent interpersonal skills and the ability to build relationships with stakeholders, including staff and external partners.

• Proactive approach to problem-solving with strong decision-making capability.

• Demonstrated ability to achieve high-performance goals and meet deadlines in a fast-paced environment.
