Administrative - Executive Assistant

Reports To: President

Temp to Hire

Onsite 5 days a week

$25-$30 per hour

Are you passionate about history and eager to make an impact in a dynamic and mission-driven environment? Exciting opportunity for a highly organized and proactive Executive Assistant to support our President. As the Executive Assistant, you will be the right hand to our President, providing essential executive support and managing a variety of high-level projects.

Responsibilities:

  • Calendar Management: Oversee the President’s calendar, coordinating meetings, events, and prioritizing issues according to urgency. Ensure the President’s time is allocated efficiently.

  • Executive Support: Act as the gatekeeper for the President, handling inquiries, managing correspondence, and responding to calls. Prioritize and respond to emails promptly.

  • Board & Donor Relations: Manage the Board of Directors’ calendar, organize meetings, and serve as a liaison to the Board, addressing any issues they raise. Handle donor communication, process donations, and manage the donor database.

  • Meeting Preparation: Organize and prepare for meetings, including gathering necessary documents, setting up logistics, and ensuring all details are covered.

  • Special Projects: Monitor and support projects the President is involved in, gather relevant data, maintain deadlines, and provide analytical support.

  • Communication & Correspondence: Draft, review, and send letters, reports, minutes, and other communications on behalf of the President. Research and draft letters as needed.

  • Event Coordination: Participate in on-site and off-site events, ensuring all logistical details are managed smoothly.

  • Confidentiality & Discretion: Handle sensitive matters with the utmost confidentiality and discretion, making contacts internally and externally with diplomacy.

  • Administrative Duties: Enter data, receipts, and invoices into QuickBooks, maintain files and documents for efficient retrieval, and support the overall operational efficiency.

  • Mission Support: Actively engage in activities that enhance the mission

Qualifications:

  • Communication Skills: Exceptional written and verbal communication skills.

  • Time Management: Strong ability to manage time effectively and handle multiple tasks with a high degree of organization.

  • Confidentiality: A commitment to maintaining the highest standard of confidentiality.

  • Attention to Detail: Keen attention to detail in all tasks and responsibilities.

  • Technology Proficiency: Proficient in Microsoft Office and QuickBooks.

  • Interpersonal Skills: Strong interpersonal skills with the ability to interact effectively with various levels of the organization, as well as with donors and external partners.

  • Administrative Experience: At least one year of administrative experience.
