JOB TITLE: Division Coordinator, Development

DEPARTMENT: Development

REPORTS TO: Director, Donor Relations and Stewardship

CLASSIFICATION: Full-Time, Exempt

REMOTE WORK ELIGIBILITY: Occasional

GENERAL SUMMARY

Under the guidance of the Director, Donor Relations and Stewardship, provide administrative support for the Chief Development Officer, and coordinate projects, processes, and responsibilities within the Development division to achieve its fundraising objectives.

ESSENTIAL FUNCTIONS

  • Provide administrative support to the Chief Development Officer and the development team, including handling correspondence, travel, expense reports, scheduling meetings, budgets, record management, and purchases.

  • Schedule and coordinate meetings with board members, donors, prospects, and external guests, including parking, logistics, and hospitality.

  • Coordinate with the Chief Development Officer to organize agenda, presentations, logistics, and minutes for Development Committee meetings of the Board of Directors.

  • Provide general support to the Development Division team, including electronic files, maintaining calendars, and project management.

  • Maintain and update donor database records, and support other departments and auxiliaries work in the donor database.

  • Assist with purchasing and tracking supplies, equipment and maintenance in procurement system and act as a liaison for Purchasing and Accounting.

  • Coordinate special projects assigned by the Chief Development Officer.

  • Reserve rooms for individual and group meetings.

  • Support departmental events as assigned including the museum’s two signature fundraising events, and other member and donor events.

  • Apply DIA values to interactions to support a culture of belonging among internal and external stakeholders.

  • Perform other duties as assigned.

    QUALIFICATIONS

    EDUCATION AND EXPERIENCE

    Bachelor’s degree in a related field is required . Four (4) years of administrative experience required. Experience in development in non-profits preferred. Additional years of experience may be substituted for degree requirement.

  • Demonstrated collaboration skills to work across departments and divisions internally and with diverse stakeholders externally.  

  • Must possess a demonstrated understanding of ethical business conduct and professional practices including maintenance and protection of confidential and sensitive information.

  • Must have solid office administration skills, including ability to maintain files and keep items in a logical and organized manner as well as have the ability to operate most office equipment.

  • Demonstrated ability to work with attention to detail and produce accurate results.

  • Ability to provide information, ideas, and instructions clearly, effectively, and professionally through talking or writing.

  • Demonstrated flexibility and adaptability to changes in priorities based on operational need.

  • Demonstrated organizational skills to plan, manage, prioritize, and complete multiple on-going projects to meet deadlines and goals.

  • Ability to work occasional weekend and evening hours for special events.

  • Must be proficient in the latest version of Microsoft Office 365.

  • Experience with donor management software, Raiser’s Edge preferred.

  • Must have proficiency in the use of remote work technology such as scheduling with, connecting to, and using digital collaboration platforms such as Microsoft Teams.

  • Must be able to establish and maintain professional, productive, and courteous interactions that promote positive teamwork. This encompasses going beyond giving and receiving instructions and includes but is not limited to (a) performing work activities requiring interacting or speaking with others; and (b) responding appropriately to constructive feedback or suggestions for improvement from a supervisor.
