DESCRIPTION OF MAJOR JOB DUTIES

The Department Supervisor 1 is responsible for all aspects of Nutrition Program operations at the senior citizen luncheon centers to include supervision of employees and volunteers, ensuring compliance with federal, state, and local regulations, compile data for reporting, coordinate communication, and other related functions.

  • Supervise and train contractual employees and volunteers at luncheon centers in all Congregate and Home Delivered Meal delivery functions.
  • Ensure level of staffing is maintained and necessary adjustments are made in daily personnel coverage for vacations/absences. Schedules for time off or leaves of absences must not compromise the efficiency or cost effectiveness of the operation. Ensure all vacancies are reported immediately.
  • Monitor employee work performance and recommend changes where necessary.
  • Ensure that all food temperatures are properly maintained, portioned, and packaged for delivery to the homebound clients and on site service to congregate participants.
  • Maintain close communications with site personnel and central kitchen discussing and resolving daily issues.
  • Conduct monthly visits to sites completing inspection form, reporting violations or non-compliance matters to proper authorities and implement corrective action when necessary. Perform announced and unannounced inspections to central kitchen. Report findings to management for resolution.
  • Ensure volunteers and staffs have required photo ID's.
  • Ensure timely and accurate completion of all required reports. Review for accuracy and timely submission, mileage reimbursements, volunteer hours, site weekly reports and accompanying records, all personnel records are completed according to procedures, in a timely basis, (timecards, accident reports, etc). Prepare computerized monthly and quarterly reports for meal counts and participant data
  • Assist in answering incoming phone calls to office. Direct, document, or relay information to appropriate staff. Coordinate communications between sties and office staff to convey client information.
  • Interview all prospective contractual employees; ensure necessary paperwork is completed and forwarded for processing. Conduct new employee orientation and arrange for in-service trainings to meet program requirements.
  • Conduct staff meetings and Project Advisory Council meetings. Minutes must be prepared and distributed to all concerned personnel.
  • Assist in the preparation of grants and contracts, planning and coordination of the Volunteer Appreciation Luncheon, Senior Funfest, and conduct annual client satisfaction surveys.
  • Attend all meetings/trainings as requested by the Director.
