Essential functions (job duties):

Job Purpose

Perform various general office, clerical and/or secretarial duties of a routine nature in support of an assigned academic or administrative unit in a School, College, Division or Center/Institute at the University.

Essential Functions

Financial Forms and Processing: Review and prepare royalty payments due to authors at period end in WayneBuy. Review permissions and rights activity. Process payments in WayneBuy when rights or permissions revenue is received. Track requisitions to ensure payments were processed.

Author Coordination: Respond to inquiries from authors regarding royalty terms and payments.

Shipping and Receiving: Process book and journal returns as they arrive. Prepare packages to ship to appropriate vendors.

Reporting: Maintain, modify, and update records for assigned area. Generate reports and spreadsheets with the use of appropriate software. Compile and calculate data concerning unit activities and personnel.

Perform other related duties as assigned. Adhere to confidentiality and data usage policies.

Qualifications:

MINIMUM QUALIFICATIONS

Education High school completion (or GED)

Experience Entry level (less that a year of job-related experience)

Minimum one (1) year of general office, clerical or secretarial experience, including experience operating standard office equipment (FAX, copier, personal computer, electronic calendar) and using software for data entry, storage, retrieval, and reporting.

Knowledge, Skills, and Abilities

Typing Skills: Ability to type with speed and accuracy (40 wpm). Ability to take notes and convert information to manuscript format (transcription skills).

Communications Skills: Good command of the English language (both oral and written). Ability to understand and provide instructions and to communicate effectively with customers.

Computer Skills: Can create and modify reports and spreadsheets by using Microsoft Office (Word, Excel, PowerPoint) or other appropriate software.

Data Analysis Skills: Ability to enter and verify data for accuracy and speed. Ability to perform basic bookkeeping duties.

Organizing Skills: Ability to work under pressure with tight deadlines. Ability to prioritize office workload and work cooperatively with others. Strong time management skills.
