General Purpose of Job:

Maintain and ensure the integrity of student academic records. Oversee student course registration. Provide strategic leadership and oversight for the Registrar-s Office and its functions. Work with data to accurately report from student academic records and support decision-making related to instructional capacity, student success, and other institutional research functions. Work collaboratively with campus partners to ensure implementation of academic policies and procedures.

Essential Functions of Job:

  • Develop and coordinate data processing of student records with information services. Ensure SIS screens are updated for processes and reports to run accurately.

  • Develop and maintain an effective communication system with faculty, staff, and students to collect the necessary data to maintain an accurate student record, including accurate and timely submission of attendance, midterms, and final grades.

  • Coordinate with faculty and appropriate staff to resolve student admissions, progression and graduation issues.

  • Provide student data and reports to faculty and staff as appropriate. Serve as the Data Steward for data in the Registrar-s Office domain (e.g., course enrollment records, grades, degree conferrals). Guide other data consumers in the interpretation of Registrar data.

  • Work collaboratively with the Vice President of Enrollment Management and Student Accounts track and maintain records concerning student enrollment and attendance as required by University or State and Federal educational agencies. Communicates with campus stakeholders on holds for attendance. Follows up with students and coaches, as appropriate, on attendance issues.

  • Attend faculty standing committee meetings as specified in the Faculty Handbook, attend Faculty Assembly meetings, participate in the Colleague Core Team, and join the Provost-s Core Team.

  • Oversee the production of class schedules, class rosters, and final exam schedules and assign classrooms.

  • Oversee issuing of transcripts to other colleges or persons entitled to receive transcripts.

  • Oversee the process to determine eligibility of candidates for diplomas or degrees, to quickly issue diplomas and transcripts, and to assist in planning commencement.

  • Oversee the evaluation of transcripts of previous post-high school work for transfer students.

  • Respond to questions regarding FERPA and other legal aspects of the registration and grading processes.

  • Maintains and updates University Catalog and academic calendar in collaboration with University faculty. Ensures degree audits within the SIS is accurate. Maintain updates to plan of study templates and degree checklists.

  • Oversees set-up for student registration including registration dates and priority group assignments, and enrollment campaigns. Maintain consortium enrollments, continuing education enrollments, and dual enrollments.

  • Oversees waitlist management in collaboration with academic departments

  • Coordinates academic end of term processing including academic standings, probation and suspension communication and management. Collaborates with Marketing to promote dean-s list and president-s list for each term.

  • Oversees the Registrar Office and Graduation budget.

  • Supervises three full-time professional Registrar staff members

  • Other duties as assigned.

    Qualifications and Requirements:

  • Bachelor-s degree required; master-s degree preferred.

  • Three to five years of experience in higher education, preferably in Registrar-s Office.

  • Computer literacy, including facility with Microsoft Word, Excel, and PowerPoint; basic data analysis skills; experience with Ellucian Colleague systems preferred

  • Ability to problem-solve and make decisions under pressure.

  • Excellent written and oral communications skills.

  • Ability to handle diverse situation on a daily basis.

    Working Conditions:

    Requires skills for succeeding in an office environment with use of technology and equipment including computers, phones, fax machines, copiers. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard, operate equipment and read technical information.

Work is performed in a normal office setting. Sits, stands, bends, lifts and moves intermittently during working hours. During course of day, can interact with students, faculty, and staff by computer, phone, or in person.
