Description of Job

Position Title: Deputy Scheduler

Department: Internal Operations

Hiring Salary Range: $50,000 - 52,000 annually

FLSA Classification: Exempt (not over time eligible)

Organizational Relationships: This position reports to the Deputy Chief of Staff and is part of the Governor’s support staff team. This position does not have any supervisory responsibility.

Expected Annual Travel: None

Summary of Functions: The primary responsibility of the Deputy Scheduler is to provide direct support to the Director of Scheduling in the Governor’s office, including organizing and responding to requests, preparing briefing memos and liaising with the Governor’s Special Assistant and advance team. In addition, this position provides general administrative support to the First Gentleman with occasional staffing.

Essential Duties and Responsibilities:

  • Work with the Director of Scheduling to manage, process and maintain all scheduling requests for the Governor.

  • Draft and disseminate the Governor’s schedule daily and ensuring all meetings have briefings, working with the Special Assistant to the Governor to put together the daily binder.

  • Assist in the day to day needs of the Governor, such as: updating last minute changes to the Governor’s calendar, coordinating lunches and ensuring the Governor’s meetings are started and ended in a timely manner.

  • Assists with in-state and out-of-state travel coordination and requests for the Governor and accompanying staff.

  • Acts as the point of contact for all external speaking engagements and events involving the Governor.

  • Coordinate complex and changing scheduling needs to include meetings, travel and other events/schedules as needed.

  • Participate in weekly scheduling meetings and assist in note taking and coordination of follow ups.

  • Compile weekly matrix of proposed meetings and manage confirmations, declinations, and various other follows up as necessary.

  • Manage the Governor’s incoming scheduling requests and ensure all requests are processed and receive proper vetting.

  • Handle matters confidentially, proactively and expeditiously; anticipate needs and follow through or projects to successful completion.

  • Provide general administrative support to the Director of Scheduling as needed.

  • Provide administrative support to the First Gentleman including but not limited to: staffing, scheduling, draftings memos.

    General Duties:

  • Adhere to all health and safety policies in the planning and execution of activities.

  • Use word processing, spreadsheet, database, and scheduling software applications to prepare correspondence, plans, reports, schedules, and other documents.

  • Provide continuous effort to improve operations, streamline processes, and work cooperatively and jointly to provide quality customer service.

  • Participate in project teams as required.

  • Participate in conferences and workshops as required.

  • Other duties as assigned.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights

Education/Experience:

  • Minimum 1 year of administrative support experience to include working with complex schedules;

  • The ability to organize and manage multiple priorities and the flexibility to creatively adapt to ever-changing circumstances and events is essential.

  • Experience working with executive level staff;

  • Strong written and verbal communication skills;

  • Exceptional customer service skills;

  • Ability to maintain a high level of confidentiality;

  • Intermediate to advanced computer skills required.

    Preferred Qualifications:

  • Some college coursework helpful, but not required.

  • Knowledge of Salesforce or similar software preferred.
