We are seeking a highly skilled and professional Administrative Assistant to support our Executives. The ideal candidate will possess exceptional organizational and communication skills, a keen attention to detail, and the ability to handle sensitive information with discretion. Proficiency in Microsoft Office and digital tools is essential.

What You'll Do…

  • Executive Support: Provide comprehensive administrative support to the Executives, including managing their calendar, scheduling appointments, and organizing travel arrangements.

  • Communication: Act as the primary point of contact between the Executives and internal/external stakeholders. Manage email correspondence, prepare reports, and draft communications.

  • Meeting Coordination: Plan, coordinate, and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.

  • Document Preparation: Create, edit, and format documents, presentations, and reports using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Project Management: Assist in the planning and execution of various projects, ensuring timelines are met and deliverables are of high quality.

  • Office Management: Oversee office operations, including ordering supplies, maintaining office equipment, and ensuring a professional work environment.

  • Confidentiality: Handle confidential information with the utmost discretion and ensure compliance with data protection policies.

  • Digital Tools Management: Utilize digital tools and platforms (e.g., Microsoft Teams, Zoom, Webex) to enhance productivity and communication.

  • Cybersecurity and Privacy:

  • Security Protocols: Ensure adherence to cybersecurity protocols, including the use of strong passwords, two-factor authentication, and secure communication channels.

  • Data Privacy: Handle sensitive information with care, ensuring compliance with data protection regulations and company policies.

  • Continuous Learning and Adaptation:

  • Professional Development: Stay updated with the latest digital tools and technologies by attending webinars, taking online courses, and participating in professional networks.

  • Adaptability: Quickly adapt to new software and tools as they emerge, ensuring the executive team remains at the forefront of technological advancements.

Working Conditions:

  • Full-time position, typically Monday to Friday.

  • May require occasional overtime or weekend work depending on project deadlines or executive needs

You'll Have…

  • Education: Bachelor’s degree in Business Administration, Communications, or a related field preferred.

  • Experience: Minimum of 5 years of experience as an Administrative Assistant, preferably supporting C-level executives.

  • Excellent verbal and written communication skills.

  • Ability to work independently and as part of a team.
