What you'll do

  • Coordinate drug and alcohol testing using team member scheduling systems

  • Apply and ensure compliance with DOT 49 CFR Part 40 Drug & Alcohol regulations and related standards

  • Maintain confidential drug and alcohol program records per DOT and FAA requirements

  • Review and update daily test results for both DOT and company testing programs

  • Provide pre-employment clearances for Talent Services

  • Handle requests for drug and alcohol records from other companies for former employees

  • Verify and update records within the Drug & Alcohol system

  • Prepare follow-up documentation, including affidavits and correction certificates for vendors

  • Manage third-party vendors and collaborate with recruitment and hiring managers for pre-employment screenings

  • Review and verify invoices for manager approval

  • Perform audits and prepare reports for internal and FAA inspections

  • Communicate with internal staff, clinic personnel, field managers, and third-party vendors

All you'll need for success

Minimum Qualifications – Education & Prior Job Experience

  • High School diploma or GED.

  • Typing proficiency of 25 to 49 words per minute

  • Strong skills in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook)

  • Excellent verbal and written communication skills

  • At least one year of experience in an administrative or clerical role in an office setting

Preferred Qualifications – Education & Prior Job Experience

  • Experience with Applicant Tracking Systems (e.g., SuccessFactors)

  • Background in the airline industry

  • Certifications in compliance or drug and alcohol programs

  • Experience in drug/alcohol programs, compliance, or human resources

  • College coursework or degree in Business Administration, Human Resources, or a related field

Skills, Licenses, and Certifications

  • Excellent organizational and time management skills

  • High attention to detail, with a creative approach to problem solving

  • Aptitude to effectively work with cross-functional teams

  • Exceptional organizational and time-management skills; self-motivated

  • Detail-oriented with the ability to maintain confidentiality and work with sensitive information
