Summary The Primary Purpose of the Position is: To provide routine technical and administrative support to the Administrative Officer for Ambulatory Care. The position will be the Service Safety Representative and alternate ADPAC. The Organizational Location of the Position is: Administrative Support Section, Ambulatory Care Service, VA North Health Care System (VANTHCS), Dallas, TX. Responsibilities Duties include but are not limited to the following: Administrative Support: Coordinates the Fee Basis and Locum Tenens Physician credentialing process for Ambulatory Care. Informs physicians of the requirements of the contract, mails tentative availability schedules, collates, and coordinates prospective coverage dates. Arranges possible coverage options and assists the AO and ACOS/AC in making the final schedule, affirms and assures that coverage was provided, maintains timekeeping data for these Fee Basis personnel. Serves as primary timekeeper for the fee basis providers and secondary timekeeper for staff. Performs extensive research in multiple databases to compile pertinent databases to compile pertinent data for quarterly reports submitted to Qualify, Safety, and Value Service regarding active/inactive staff, locum, and fee basis providers. Assists patients and their families, staff, employees, service officers, local, state and federal officials, or any individual requesting assistance from the Office of the Chief/AC Section/SRMVC. Provides backup assistance to the Associate Chief of Staff for Ambulatory Care (ACOS/AC) in the primary secretary's absence or in the event of increased work volume. Logistics/Safety: Manages and provides budget support functions: Complies, gathers, and maintains financial data and initiates purchasing for equipment and other supply needs for Ambulatory Care specialty services including Maternity Program, Blind Rehabilitation/VIST Program, Allergy and Podiatry. Analyze operational procedures to make recommendations for improvements or reducing costs. Coordinates the repair of Ambulatory Care facilities and/or purchase of office supplies and equipment needed in the clinics, and other AC areas. Prepares and submits purchase requests and work orders for equipment purchase and /or repair, supplies, and services; monitors status of such requests until they have been completed. Non-VA Care: Manages and monitors referral process for Non-VA Care and maintains extensive interaction with contacts at other hospitals regarding funding for required services and procedures. Responsible for submission of authorization forms and medical records to other facilities, coordinating scheduling for surgical procedures, and processing claims for rendered services. Manages funding for each patient and initiates necessary modifications to obligated funds to support services and treatment. Responsible for maintaining spreadsheet and patient files to track and support budget activity. ADPAC: Serves as an alternate to the primary Automated Data Processing Applications Coordinator (ADPAC). Provides initial training and first line troubleshooting for Ambulatory Care staff. Identifies problems and provides management with solutions to correct ADP problems and prevent potential ones. Coordinates OI&T new equipment requests and equipment moves, new lines, etc. Gathers and submits the annual ADP equipment needs to OI&T. Work Schedule: Mon. - Fri. 8:00 a.m.-4:30p.m. Telework: VA supports the use of telework as a way to help attract and retain talented individuals in public service, increase worker productivity, and better prepare the agency to operate during emergencies. Qualifications To qualify for this position, applicants must meet all requirements by the closing date of this announcement, 01/17/2025. Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-07 position you must have served 52 weeks at the GS-06. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year, it may not clearly demonstrate you possess one-year time-in-grade, as required by the announcement. In this instance, you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. You may qualify based on your experience as described below: Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-06 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: (1) Performs administrative and office automation duties; (2) Operation of reproduction equipment, record keeping, scheduling; and filing procedures; (3) Data processing, typing correspondences and other documents; (4) Compiles data for various reports, using data mining as necessary; and (5) Performs proper formatting on all Ambulatory Care correspondence and reports. Physical Requirements: The work is sedentary. Some work may require movement between offices, hospitals, warehouses, and similar areas for meetings and to conduct work. Work may also require walking/standing, in conjunctions with travel to and attendance at meetings and/or conferences away from the work site. Incumbent may carry and lift light items weighing less than15 pounds.
