POSITION OBJECTIVE

The Office Administrator is the first staff member that PennEnergy guests and employees encounter as they arrive in the office or contact via phone, and therefore requires a personality that is positive, warm, and inviting with a strong sense of security and initiative. This position is responsible for office support services, providing administrative support to all employees, and requires high performance and attention to detail. This employee interacts with all levels of personnel and business partners and is expected to handle every task with respect and professionalism.

  • Greet visitors, guests, and anyone stopping by the office to do business with PennEnergy Resources. Act as the first line of safety and security for PennEnergy employees. Ensure all guests have an appointment and have appropriate access and/or supervision during their stay.

  • Review voicemails from the general public, stakeholders, landowners, and other parties associated with the company; forward as appropriate or respond directly.  

  • Work with the Executive Administration Manager on office policies related to building management, access, and general office practices.

  • Manage systems to procure and maintain office and breakroom supply inventories. Routinely audit the vendors used to ensure efficient and cost-effective options.

  • Responsible for the cleanliness, stocking, and maintenance of the office’s general spaces, to include reception area, conference rooms, café and coffee stations, copy stations, and supply/storage areas.

  • Serve as the office liaison with vendors and property management personnel. Work with building management on general office issues. Contact equipment vendors and arrange for equipment repair. Provide communication to employees if operations will be affected by building maintenance or equipment repair.

  • Main contact for USPS mail, express mail, certified mail, and deliveries. Ensure all mail and packages are distributed to the appropriate persons. Assist with mailings. 

  • Provide periodic administrative support such as conference room reservations, catering orders, logistical planning, general correspondence, spreadsheets, and assist with special projects and upcoming events.

  • Coordinate onsite office records and files, as well as offsite storage.

  • Provide support in preparing cubicles, offices, and business cards for new hires and employees with status changes. 

  • Support other administrative staff during leaves, absences, and periods of high work volume.

    REQUIRED QUALIFICATIONS

  • Ability to handle confidential information with discretion

  • Ability to coordinate and manage multiple tasks, schedules, and projects

  • Experience working with vendors such as office supply companies

  • Capable of managing the office space, including cleaning, inventory and ordering, stocking, and organization

  • Skilled in using Microsoft Office applications including Word, Excel, and PowerPoint

  • Experience operating general office and breakroom equipment

    WORK ENVIRONMENT/PHYSICAL DEMANDS

    Work is performed in a temperature-controlled office environment subject to extended periods of sitting and/or standing, vision to monitor, and typing. Must provide own transportation and be licensed to operate a motor vehicle. Individual must be capable of frequently lifting and moving boxes and supplies weighing up to 50 pounds.

    REGULAR SCHEDULE

    This is a part-time hourly position with a schedule of Monday through Friday from 9:00am to 3:00pm. We are flexible to accommodate a four-day work week and adjusted hours. Extended hours may be needed on occasion to complete Company objectives.
