Job Title:  Accounting Assistant

Qualifications Include:  Bachelor’s Degree in Business Administration or High School Diploma with five (5) years business experience; Computer skills, especially with excel spread sheets; Organizational skills; Submitting to and passing successfully a criminal records check and a drug screening test.

Hours:  Monday through Friday, 8:00 am until 4:30 pm.  Different hours may be required with the job or may be adjusted by Supervisor.

This position reports to the Accounting Director or Chief Finance Officer.

Summary of Job Duties:  The Accounting Assistant will assist the Executive Director and Accounting Director in assuring that administrative, financial, and clinical services are operating effectively and efficiently.

Essential Duties and Responsibilities: 

  • Be available to the Accounting Director in providing support, such as attending meetings, working with staff on problems and concerns, and making suggestions for improvement.

  • Work with the Accounts Payable, Accounts Receivable, and Purchasing Departments to ensure accuracy and completeness of tasks.

  • Participate in the preparation of monthly Financial Statements.

  • Participate in any State, Medicare or independent 133 Financial Audits as requested by the Accounting Director

  • Participate in the preparation and audit of Annual Cost Reports.

  • Review expenditures on a regular basis and determine problems with coding or overspending.

  • Provide administrative and/or financial information to Program Directors as needed.

  • Work with and be familiar with PDS payroll.

  • Complete bank reconciliation on a regular basis.

  • Complete cash receipts summary monthly.

  • Work with certain contracts to ensure proper and timely billing.

  • Be familiar with billing process; including entry and payments.

  • Facilitate process and review unpaid billing claims.

  • Maintain confidentiality of sensitive information.

  • Other duties may be assigned as needed.

    Physical Demands and Work Environment: 

  • The physical demands required to successfully perform this job include being able to push, pull, bend, stoop, stand, walk and lift up to 20 pounds.  Reasonable accommodations will be made to enable the individual with disabilities to perform these essential functions.

  • The employee will normally work indoors at the Corbin Regional Office but may on occasion be required to work outside or at another location if necessary.  The noise level in the work environment is mild to moderate.

  • The position may require duties to include routine or reasonably anticipated tasks or procedures where there is a degree of actual or potential exposure to blood or other infectious materials.

  • Participation in annual training regarding infection control and safety in the environment

     including hazardous waste and blood borne pathogens will be required.

  • All new staff must attend training regarding handling physical, verbal threats, acts of violence or other escalating and potential dangerous situations including when police need to be summoned.
