The Executive Assistant provides a high level of confidential and executive administrative support to ensure efficient and effective operations for the Office of the President at Anoka Technical College and both campuses of Anoka-Ramsey Community College. This position provides advice, guidance and technical assistance in a professional manner with people at all levels of the College and within the Minnesota State system, along with the general public and significant community partners (i.e. legislators, community leaders, business partners, etc.). Using independent judgment this position will plan, prioritize, and organize a diversified workload, and develop and recommend changes in office practices or procedures. This position will provide leadership and support the President and Colleges in institutional relations functions; direct and manage special projects; direct and manage special events, points of entry, public forums and college events. Act as college-wide resource for information and serve as the main point of contact with the college president.

Duties include managing the workflow of the President including communications, researching issues and recommending solutions, managing expenditures for multiple budgets, and managing the President’s travel and calendar, including calendar prioritization, making independent decisions and communications regarding logistics and preparation of all meeting materials.

The Executive Assistant will also take lead on coordination of the College Advisory Committees on all three campuses, coordination of Alumni Relations communications, coordination of the Distinguished Faculty (Emeritus) events, and provide administrative support for the Chief Marketing and Communications Officer and the Office of Marketing and Public Relations.

Minimum Qualifications

  • An Associate degree AND at least three (3) years of previous administrative assistant experience supporting executive-level leaders or equivalent combination of education and experience.

  • Advanced administrative/clerical skills sufficient to apply principles and practices of office management in planning, organizing, and reviewing work.

  • Ability to communicate effectively and efficiently with all constituent groups, including administration, faculty, staff, students, legislators, and business leaders, while using strong customer service/human relation skills and remaining calm in difficult, fast-paced situations.

  • Professional business English skills sufficient to speak, read, write, prepare, and edit materials, using correct and error-free spelling, punctuation, grammar, and typing.

  • Proficient in Microsoft Office Suite products including Outlook, Word, and Excel sufficient to schedule, compose, create, modify and save calendars, memos, letters, documents, reports, charts, create and develop presentations, etc.

  • Excellent organizational skills and the ability to manage multiple tasks, projects and deadlines with competing priorities while paying close attention to detail.

  • Ability to deal with highly confidential information in a professional manner.

Preferred Qualification

  • 5 years of previous executive assistant experience supporting senior leaders in a fast-paced environment.

  • Previous work experience in higher education.

  • Prior major event planning, implementation, and management experience.

  • Bachelor’s Degree.

Work Shift (Hours / Days of work)

Monday- Friday (8:00 am - 4:30 pm)

Telework

This position will have responsibilities at all 3 campuses, primarily traveling between Coon Rapids and Anoka. The home campus will be the Rapids campus. A hybrid work schedule is possible, up to two days/week remote and will be determined by the needs of the department.
