The State of New Hampshire, Division for Children, Youth and Famies has a Full time vacancy for : Executive Secretary
SUMMARY:
Reports to the DCYF Juvenile Services District Office Supervisor performing administrative support functions; assist the Juvenile Probation and Parole Supervisor or a Child Protective Service Supervisor; and provides diverse and complex support services for the Juvenile Probation and Parole Unit within the Children, Youth and Families Division. Upholds the vision and mission of the agency through utilizing the Practice Model theories, beliefs and principles in daily practice.
MINIMUM QUALIFICATIONS:
Education:Completion of high school, G.E.D. or its equivalent, including courses in office procedures, word processing, or typing. Each additional year of approved formal education may be substituted for one year of required work experience.
Experience:Three years' experience in a secretarial position including supervisory, administrative support, or office management experience.
License/Certification:None required.
RESPONSIBILITIES:
Relieves the supervisor of administrative detail, answering questions for other staff and for the public, making appointments, coordinating scheduling of after hour work assignments, and coordinating the inventory and purchasing of supplies for the unit.
Responds to requests for information from case members, courts, etc., including answering and screening phone calls on behalf of management and professional staff and routing calls to appropriate personnel and/or recording messages.
Operates a personal computer, utilizing various software applications and complex case management systems, to produce a variety of data, forms, reports, schedules, and update unit and case files on behalf of or for use by unit staff.
Completes applicable hard copy forms corresponding to case activities and enters related case information into case management systems to ensure electronic and paper case records are synchronized; performs required follow-up activities.
Drafts and prepares correspondence, requests for information, case and court documents regarding legal and/or highly confidential subject matter, on behalf of staff or for approval by the unit supervisor, through verbal instruction, written material, or by transcribing recorded dictation.
Reviews materials, reports, court documents and forms prepared to ensure accurate content and formatting standards are adhered to, including checking and verifying typed documents; corrects or seeks clarification of inconsistencies and prepares final drafts.
Collects, analyzes and prepares material for statistical reports such as travel money, IV-B, time and attendance of staff for use at state office level.
Interacts with other state/municipal agencies and with other offices within the Department regarding administrative matters and to coordinate offender-monitoring or supervised visitation activities.
Assists in cross-training support staff in pertinent aspects of unit-specific support functions to ensure that routine responsibilities can be achieved in the absence of the Executive Secretary.
Provides clerical support assistance as needed when directed by the Juvenile Probation and Parole Supervisor to ensure that daily objectives are met throughout the district office.
