Pet Food Express HR Coordinator in Concord, California
Pet Food Express is seeking an HR Coordinator who combines a proactive, detail-oriented approach to coordinating critical responsibilities supporting benefits administration, payroll recordkeeping and office management. Reporting to the Sr. Manager, HR Operations, you will be a central figure in our team, working closely with individuals at all levels of the organization.
We are looking for a candidate with meticulous attention to detail, unwavering confidentiality, and the ability to work diligently independently and collaborate effectively as part of a team. This role requires someone who can take initiative, exercise good judgment, and commit to service excellence in a fast-paced, evolving workplace.
Please Note: This is an on-site position located at our corporate headquarters in Concord, CA. Candidates who are remote or outside of reasonable commuting distance will not be considered for this role.
Responsibilities
Perform comprehensive administrative duties; maintain and update payroll records, ensuring accurate documentation in the HRIS system and keeping all records (paper and electronic) up to date.
Verify and audit payroll and benefits entries to ensure accuracy and compliance.
Support I-9 documentation, including verification, updates, and compliance.
Generate employee notifications for status changes, benefits updates, and other key communications.
Manage Payroll/HR email inbox workflow and prioritization, ensuring timely responses to inquiries and requests.
Respond to payroll and HR administrative questions, providing excellent customer service.
Become a company resource on Payroll/HR policies, best practices, and systems.
Manage the organization and processing of HR department credit card statements and receipts, ensuring accurate tracking and timely reconciliation.
Assist in the organization of company events, such as townhalls or executive meetings, including catering and logistical support.
Support employee-related services like discounts, service awards, and new hire swag distribution.
Provide reception services, including greeting visitors, managing incoming calls, handling incoming/outgoing mail, packages and courier services in line with company standards.
Oversee office supply inventory and ordering to maintain a well-stocked and functional workplace.
Ensure the confidentiality and security of HR records and assist with building security tasks, such as visitor control.
Assist the Payroll and Human Resources teams with ongoing tasks and special projects as assigned.
Qualifications
2-3 years of experience in a high volume HR, Payroll, or similar administrative role.
Associate's Degree in Human Resources or a related field is preferred.
Familiarity with Human Resources procedures and practices.
Acute attention to detail, combined with strong numerical and organizational skills.
Excellent time management abilities with the aptitude to prioritize and complete numerous tasks, adhering to strict deadlines.
Highly effective communication and interpersonal skills, with a focus on customer service responsiveness and urgency.
Excellent relationship, interpersonal and teambuilding skills.
Experience with Ceridian, ADP or similar payroll systems. Proficient with Microsoft Office suite, and capable of adapting to new software systems.
Strong ethical conduct with regards to confidentiality and privacy.
A team player who can also work independently, initiating and exercising sound judgment.
Enthusiasm and ability to work on-site M-F from our corporate office in Concord, CA, and a consistent record of punctuality and reliability.

The salary range for this position is expected to be $27.00/hr - $28.50/hr Pet Food Express determines starting salary based on many factors, including but not limited to, local market rate, the qualified pool of candidates, internal compensation practices, a candidate’s actual skills and experience.
