Definition

Under direction, is responsible for performing complex or specialized clerical functions; performs related duties as required.

  • Answers complex questions from internal and external customers regarding policies and procedures, applicable fee structures,rules and regulations, City code, or departmental programs or functions;

  • Schedules meetings, appointments, or interviews;

  • Composes routine informational letters and memoranda;

  • Takes minutes of meetings and conferences; takes dictation; prepares agendas;

  • Maintains confidential files; receives and directs complaints from customers to proper administrator for remedy;

  • Answers inquiries and explains policies and procedures; researches problems as they arise concerning administrative functions;

  • Processes confidential paperwork such as performance appraisals, personnel transactions, and disciplinary recommendations;

  • Contacts outside sources to exchange information or discuss issues;

  • Assists customers with license or contract procedures; answers questions concerning contracts, zoning, or license requirements/guidelines;

  • Calculates and collects appropriate fees as determined by applicable fee structures;

  • Operates and manages complex databases, spreadsheets and other software;

  • Uses the Internet and other resources to perform advanced searches;

  • May have lead responsibilities which may include duties such as training employees, assigning and reviewing work, and scheduling.

Minimum Qualifications

Completion of the twelfth school grade and three (3) years of general office experience. Substitution(s): A certificate of high school equivalence (GED) will be accepted in lieu of a high school diploma. College training may be substituted for the required experience on a year-for-year basis (30 semester/45 quarter credit hours equals one (1) year).

The names of the applicants passing this administration of this exam will be used to create aNEW, OPEN COMPETITIVE, eligible list, and willreplacethe names on the current list. If you are interested in having your name included on the new eligible list, you will need to apply for this exam within the filing period and successfully complete all phases of the testing process. Questions regarding this process can be directed to the Test Center at 614-645-7439.

The examination process will consist of a computerized exam weighted 100% covering reading comprehension, information ordering, customer service, email and letter etiquette, proof reading, attention to detail, Windows 10, and Word, Outlook, and Excel 2016 and 2019.

The exam is expected to be administered in March. Approved applicants will be notified by mail/email of their scheduled test date and time.

All applicants must complete all phases of the testing process in order to receive a final score. The names of all candidates who pass this examination will remain on the eligible list for two years, unless the eligible list is replaced prior to or extended beyond the two years. If a candidate's name is certified and the candidate is to be considered for employment, the hiring process will include one or more interviews, a criminal background check, and a pre-employment drug test. For any position within the Division of Police, the hiring process will also include the completion of an extensive personal history questionnaire and a polygraph examination.
