Definition
A person who has been selected by an appointing authority in accordance with the Columbus City Charter, Section 148(1) is said to have received an unclassified appointment. Those individuals receiving unclassified appointments serve at the pleasure of their appointing authority and may be terminated from employment at any time. Please contact the Civil Service Commission if you would like additional information regarding this process.
Under direction, is responsible for serving as the confidential secretary to an executive level position in the unclassified job family; is responsible for serving as an administrative assistant to the Mayor; performs related duties as required.
Preferred Qualifications and Experience
Bachelor’s Degree in business, public administration, or in a field closely related to the major activity of the Department of the Inspector General and four (4) years of professional experience in business or public administration; OR of eight (8) years of professional experience in business or public administration without a bachelor’s degree.
Two (2) years in a supervisory capacity coordinating administrative activities, preferably in a field closely related to the work of the Department of the Inspector General.
Experience working directly with individuals in all levels of city government, the community and the general public is highly desirable.

Prioritizes phone calls and correspondence that must be handled by the executive and ensures essential matters are handled in the absence of the executive; relays critical information to the executive;
Speaks directly with individuals in all levels of City government, the community, and the general public;
Handles telephone calls, correspondence, and inquiries on behalf of the executive;
Coordinates all travel plans for the executive including airline, hotel, and rental car;
Schedules appointments, meetings, and conferences; maintains appointment calendar for director and/or other executives;
Reviews all correspondence and documents to be signed by the executive for accuracy and content;
Composes correspondence and office memoranda for review and/or signature of executive;
Identifies areas to improve office efficiencies and recommends appropriate procedures or practices;
Prepares and/or types letters, memos, legislation, contracts, Powerpoint slides, and other documents using word processing and other software applications at the direction of the executive;
Takes, transcribes, and distributes verbatim minutes of meetings, boards and hearings;
Assists with special projects pertaining to the mission of the department;
Assembles, collates, and copies various documents for meetings, presentations, and other uses;
Maintains a records management system as well as a "hard-copy" filing system for executive's files; keeps official records of meetings;
Handles material of a sensitive and confidential nature;
Participates on various committees and other similar activities;
May provide administrative support to all executives and other staff in the director's or Mayor's Office;
May supervise subordinate staff.
