Job summary: Assists the Operations Supervisor in maintaining operational and administrative efficiency departmental operations. Works closely with other departments in support of the operational goals and objectives.

Essential Duties/Responsibilities:

-Performs data entry into databases; updates and maintains records, files, documents, etc. Trains others on the database as needed. -Assures proper adherence to Record Retention Policy for all programs within -the department and acts as liaison with the Records Center. Determines appropriate response to requests for records maintaining compliance with applicable laws, regulations, policies, and procedures. -Serves as primary contact for issues and projects related to departmental operations and/or; coordinates with the appropriate personnel. Tracks facility. -Ensures employees have an operational working environment; coordinates employee moves and new employee workstation set-ups. -Facilitates cubical reconfigures, building renovations, remodeling, and construction projects; schedules appropriate contractors as needed. -Works with Digital, Strategy & Technology (DST) to resolve computer issues and troubleshoot problems. -Coordinates and provides all onboarding and offboarding of employees. -Deploys, tracks, and assists new employees with set up of all cell phone and laptop equipment. -Coordinates the distribution and maintenance of all building and room keys for locations. -Ensures accuracy of cell phone statements; communicates with cell phone providers regarding contracts, billing and potential discrepancies, upgrades agency-wide cell phones as required. -Tracks and manages operational contracts, including document destruction, facilities software, medical equipment maintenance, medical waste destruction, water distribution, copier lease and maintenance, and county subcontractors. -Prepares and assists with applicable meetings, committees, and work groups. -Performs quarterly agency safety inspections and resupply First Aid kits. -Assists with vendor selection for repair of departmental equipment. -Provides Fleet support services, including signing out reserved fleet vehicles to employees; confirming that employees are eligible to drive; remediating gas P-card billing; and scheduling repairs and recalls as needed. -Provides routine administrative support. Prepares, types, and proofreads detailed and special correspondence, memorandums, and other documents from brief instructions or notes. -Perform other duties as required.

Qualifications Knowledge, Skills & Abilities:

-Working knowledge of Microsoft Office programs, including Word, Excel, Outlook, and Access. -Strong time management skills with attention to detail. Must possess strong grammar, spelling, and punctuation skills. -Ability to work with frequent interruptions, ability to organize, coordinate, and prioritize tasks and move between projects on short notice. -Ability to demonstrate sound judgment by taking appropriate actions regarding questionable findings or concerns. -Ability to communicate effectively and establish strong working relationships with staff, County employees, clients, and the public. Ability to provide excellent customer service. -Ability to maintain confidentiality. -Ability to compile and maintain accurate records and reports. -Ability to work independently and in a team environment. -Maintain regular and punctual attendance.
