General Summary

Position is responsible for overall front office activities, working independently to provide executive assistance to management, process payroll, administrative & personnel functions, reception, mail, and office supplies purchasing services. Supports the Site Project Manager by managing and maintaining the DMLSS database, and other tasks as assigned by the Project Manager. This position will also provide other duties as needed.

Essential Duties and Responsibilities

Supervises and coordinates overall administrative activities for the Office Services department; organizes office operations and procedures. Manages the reception area to ensure effective telephone and reception services as first point of contact on behalf of the organization; greets and directs visitors in a professional, friendly and hospitable manner. Provides administrative and human resources support to the Project Manager and staff Reviews & edits payroll punches, inserts leave hours as needed, resolves employee issues regarding payroll. Monitors office supplies inventory and places routine orders as needed to maintain adequate stock; orders and delivers supplies as requested by corporate office staff. Sorts and delivers internal mail, prepares packages for shipping and mails outgoing correspondence. May participate in special departmental projects; performs data entry and scanning as needed. Process new hire and benefit information and forward to the corporate office. Responsible for timely and accurate payroll processing; maintain spreadsheets with employee hours in order to comply with CBA provisions. Prepare wage increases on a timely basis per the CBA. Responsible for processing and scanning invoices. Responsible for preparing billing invoices to the government. Submit union reports. Reconcile service order documents. Monitor and enter labor for service orders. Other duties as assigned. Knowledge, Experience and Skill Requirements

Associate's degree in Human Resources, Business Administration or a related field, or Minimum of two (2) years of experience working with a government contractor performing the duties listed above, or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job Experience in human resources, accounts receivables and payroll Experience working in a critical deadlines environment Strong written and oral communication skills Proficiency in Microsoft Office suite of software, including Word, Excel and Outlook Must be able to successfully pass a government background screen for admittance to jobsite. Experience working with DMLSS preferred Physical, Environmental and Sensory Requirements

Works in office areas as well as throughout the facility. Physical demands include intermittent sitting, standing, and walking, and occasional bending, reaching, and lifting.
