El Paso County Health Promotion Administrative Coordinator-Grant Funded in Colorado Springs, Colorado

Assists in the day-to-day management of administrative functions to ensure program operations flow smoothly for theTobacco Education and Prevention Partnership (TEPP) and Youth Substance Use Prevention. Performs a variety of administrative duties, including but not limited to event and meeting coordination, answering telephones, updating databases, receiving the public, providing customer assistance, data processing and record keeping. Assists a diverse group ofcommunity partners, external callers and visitors as well as internal contacts at all levels of the organization. This position is subject to grant funding.

Essential Duties: -Provides various administrative support related to program activities and projects. -Develops and types written correspondence, memos and reports and responds to routine external correspondence;maintains and prepares forms and documents as needed. Prepares budget adjustments, purchase requisitions,payment requests and other financial documents as directed. -Prepares various reports, collects information, compiles into standard format, prints, proofs and provides tosupervisor for approval. -Performs data entry; updates, maintains and ensures the integrity of program databases. -Greets and assists visitors and employees. Answers and screens incoming calls, takes messages, and answersinquiries or refers calls to the proper person or office. Acts in a diplomatic and courteous manner. Provides accurateand detailed information to callers. -Prepares and maintains program activity and event lists and distributes as required. -Makes travel arrangements as requested. -Maintains program filing systems. -Distributes program mail. -Coordinates program events and projects as assigned by supervisor. -Coordinates and schedules meetings, prepares agendas, takes minutes, prepares sign in sheets and reserves meeting space for various Health Promotion staff. Coordinates catered functions, including ordering, pick-up, set-up and clean- up. -Submits facilities related requests on behalf of the department. -Provides assistance to staff, to include administrative support and assisting with special projects as requested. -Purchases supplies, equipment, and other items to support program operations. -Participates in departmental emergency planning and response activities. -Promotes public health within the community.

Knowledge, Skills, and Abilities: -Ability to effectively plan, schedule and organize. -Must possess a high level of attention to detail. -Ability to communicate effectively, both verbally and in writing with proper regard for spelling, grammar and punctuation. -Interpersonal skills to handle sensitive and confidential situations; ability to maintain the security of sensitive and confidential information. -Skill in demonstrating a cooperative, professional attitude to cultivate relationships both within and outside the organization. -Demonstrated strong analytic and critical thinking skills. Ability to gather and summarize data, find solutions to various administrative problems and prioritize work. -Ability to communicate, motivate, and organize projects among a broad spectrum of personnel frequently underdeadline pressure. -Ability to prepare and maintain clear, concise and accurate documentation and reports to meet Health Promotion objectives. -Ability to respond in a flexible manner and reprioritize work as situations change. -Ability to demonstrate sound judgment by taking appropriate actions regarding

questionable findings or concerns. -Ability to identify problems and work creatively to resolve them, considering the impact of actions on Public Health. Ability to identify results of efforts and current or potential problems and to develop and recommend corrective actions to supervisor. -Knowledge and understanding of agency and county policies and procedures. -Ability to maintain the security of sensitive and confidential information. -Ability to work independently and in a team environment. -Ability to perform under stress and when confronted with persons acting under

stress. -Proficiency in using databases and Microsoft Office programs, including Word, Excel and Outlook. -Ability to use standard office equipment, including computer, multi-line telephone, printer, copier and fax machine.
