Job Summary:

The Receptionist/Office Assistant I will perform various routine clerical duties to support the organization; including greeting customers, employees, and applicants, answering phones, assisting the human resources department with daily operations and the conducting of procedures. Involves continuous communication with various employees, staff, and members of the public.

Duties and Responsibilities: Performs clerical duties including typing, filing, and completion of simple forms. Translates written documents and verbal communications in Spanish and English. Operates office machines including copiers, scanners, phone and voicemail systems, personal computers, and other standard office equipment. Serves as the receptionist for the office, greeting visitors and applicants. Answers phones, directs calls to appropriate individuals, and prepares messages. Copies, sorts, and files records related to office activities, business transactions, and other matters. Prepares letters, memos, forms, and reports according to written or verbal instructions. Sorts incoming mail and delivers to appropriate department or individual; processes outgoing mail. Maintains filing systems either manually or electronically. Manages calendars and schedules appointments. Performs other related duties as assigned.

Qualifications: Must be fluent in Spanish and English, both written and spoken. High school diploma or equivalent required. Clerical experience preferred. Ability to type at least 45 words per minute. Excellent verbal and written communication skills. Excellent interpersonal and customer service skills. Excellent organizational skills and attention to detail. Excellent time management skills with a proven ability to meet deadlines. Proficient with Microsoft Office Suite or related software.

Essential Functions of the Job: Must have corrected vision to: i)Complete forms and other necessary paperwork. ii) Be aware of surroundings and location of items needed. iii)Perform various job duties. Must have corrected hearing to listen to: i) needs of various people in person and over the telephone. ii) needs and advice from supervisor and co-workers. iii) the environment to be aware of surroundings. Must be capable of communicating effectively with management, coworkers, and customers, both over the phone and in person. Bends, stretches, reaches and twists while performing duties of the job. Frequently uses fingers to operate office equipment. Must be mentally alert and capable of remembering faces, names, verbal instructions and details. Must be alert and able to identify a hazard, should one occur, in order to avoid it, by correcting immediately or reporting immediately as necessary. Must dress appropriately for a professional office environment.
