What we want
At the Annenberg Presidential Conference Center, part of the George Bush Presidential Library Complex, w e host events, conferences and vendor showcases promoting education, business collaboration, partnerships, team building and so much more! And we strive to continually demonstrate efforts to improve our services and vendor options for the business partners and stakeholders we serve. We're looking for an individual with a similar mindset to be our next Events Coordinator to provide central coordination of large events and conferences, including event logistics and event management while providing exceptional customer service.
Essential Duties/Tasks
Event Logistics:
Assists in responding to and resolving issues.
Ensures that the facilities are maintained in a safe and clean environment.
Ensures that facility and audio/visual set-ups are completed accurately and on time.
Complies with all Annenberg Presidential Conference Center safety regulations and ensures support staff complies during events.
Event Management:
Act as the Event Assistant of the Presidential Conference Center.
Assumes management responsibility of Presidential Conference Center services and activities prior to and during events.
Participates in negotiations and contract preparation.
Assists with directing and monitoring the activities of catering, security, and parking.
Assists with the coordination of the work plans as directed by needs of clients.
Corresponds and provides operational support to the Manager and the Director.
Assists in the coordination facility events.
Assists in coordinating logistics for program seminars, workshops, lectures, and other special events.
Serves as a first point of contact for assigned events.
Establishes and maintains event files. Participates in pre-planning meetings with clients.
Ensures all setups for assigned events are set according to the diagram(s).
Ensures all tables, chairs, audiovisual equipment, etc. are set according to PCC standards.
Ensures event tear-down procedures and equipment care are followed per PCC standards.
Attends weekly event staff meetings.
Trains student technicians and student interns.
Customer Service & Supervision
Interacts with clients and guests in a friendly and professional manner.
Upholds a positive work environment with managers and fellow employees.
Openly communicates with clients and staff in regard to timing or other necessary changes to an event.
Serves as the supervisor on duty for assigned staff during events.
Qualifications
Required Education
Bachelor’s degree in applicable field or equivalent combination of education and experience.
No required experience.
Preferred Qualifications
Bachelor’s degree in Facility Management, Hotel/Hospitality Management, or related field.
Two years of experience in Event Planning or Event Coordination/Logistics.
Event Management Certification or Certification Meeting Professional
Certification Venue Professional or Corporate Planning Certification
Knowledge and operation of audio/visual equipment.
Knowledge of planning pod or event planning software
Customer service oriented.
Must have a professional attitude when interacting with clients and guests.
Knowledge, Skills, and Abilities
Strong organizational skills with effective verbal and written communication skills.
Ability to use google and word, spreadsheet, and database programs.
Ability to work beyond normal office hours and/ or work on weekends.
