What we want
The Graduate and Professional School needs a part-time Administrative Coordinator II who works under general supervision to ensure the efficient operation of administrative functions. The Administrative Coordinator II will assist in the coordination of administrative support functions, attend meetings on behalf of the supervisor, and analyze programs and projects. The coordinator will monitor project timelines, identify issues, and make improvements to services and processes. Responsibilities also include researching and responding to inquiries about policies and coordinating travel arrangements. This position may supervise student employees. The ideal candidate will have strong organizational skills, attention to detail, and the ability to manage multiple priorities effectively.

Other Requirements and Factors: Some nights and weekends are required to work All-Hands-On-Deck events for the Graduate and Professional School. Individuals will be given ample amount of notice for these events and the needs.
Responsibilities
Programmatic Support
Processes Research and Presentation Travel Award reimbursement requests. Reviews requests and processes approved Assistantship Non-Resident Tuition Waivers. P rovides guidance to students, staff, and faculty on the Research and Presentation Travel Award reimbursement process and the assistantship tuition waiver requirements and process. Adapts and makes improvements to related services, processes, and programs. May provide back-up support to the Fellowship Coordinator for financial award postings such as tuition and fee payments, fellowship stipends, and insurance reimbursements.
Administrative Support
Maintains sufficient knowledge base needed to accurately answer questions and assist with the resolution of complex and unusual problems . Manages shared email boxes and exercises discretion and independent judgement in responding to inquiries. Understands the need for ongoing positive and professional relationships with faculty, staff, and students. Takes “ownership” of customer service responsibilities by following up and “closing the loop” on situations including, but not limited to, inquiries, concerns, and problems. Provides support with special projects as they arise including preparation of presentations, drafting, and updating policies and procedures, auditing of business files, collecting information from a variety of sources for various needs. Drafts business related correspondence as needed. Manages the department payment and travel card log. Serves as a liaison with AABS and submits requests for new payment/travel cards, closing payment/travel cards, and submitting requests for changes to payment card limits. May assist in the development of the department internal budget.
Travel Support
Maintains extensive knowledge pertaining to TAMU General Travel Requirements, and the Concur Travel System. Coordinates student travel arrangements and prepares itineraries for Grad School sponsored conferences. Advises customers on best practices, use of Concur travel system and related mobile applications, and makes suggestions for travel arrangements. Handles applications for travel/DART cards and submits requests for increases/decreases to travel/DART card limits. Prepares customer travel expense reports as necessary. Other duties as assigned.
Qualifications
Education and Experience:
Bachelor's degree or equivalent combination of education and experience
Three years of experience in office administration
Preferred Qualifications
Higher Education experience
Experience using TAMUS systems such as Concur, Workday, Laserfiche, Compass, Howdy web portal, etc.
CAP or PACE Certification
Ability to use spreadsheet software to compile, compute, organize, and present data for use in reports and other tracking activities
Ability to prepare and make presentations
Ability to establish and maintain cooperative working relationships with other TAMU internal and external customers
Ability to interpret and explain state and TAMU regulations/rules, policies, and procedures to staff, customers, and vendors
Knowledge, Skills, and Abilities
Ability to manage and prioritize multiple assignments, work under pressure and adjust to an ever-changing work environment
Ability to work independently and carry out a variety of critical and time sensitive projects without detailed instructions
Ability to interpret and explain regulations/rules, policies, and procedures to staff, customers, and vendors
Ability to multi-task and work cooperatively with others
Excellent oral and written communication skills, demonstrating a knowledge of proper spelling, grammar, punctuation, and sentence structure to ensure that written communication is clear and concise
Excellent customer service skills to effectively address and resolve inquiries and concerns
This position is security sensitive
This position requires compliance with state and federal laws/codes and Texas A&M University System/TAMU policies, regulations, rules and procedures
