The Texas A&M Energy Institute is thrilled to announce an exciting opportunity for an Administrative Coordinator I to join our vibrant team! In this pivotal role, you'll be the backbone of our specialized unit, providing indispensable administrative support with a high degree of discretion and independent judgment on matters of significance. Your day-to-day duties will include warmly greeting callers and visitors, crafting and composing professional correspondence, meticulously maintaining files and records, and efficiently managing incoming and outgoing mail.

We are seeking a candidate with three or more years of progressively responsible support experience within the Texas A&M University System or another esteemed higher education institution. Qualifications

Required Education and Experience

  • Bachelor's degree or equivalent combination of education and experience.

  • Two years of experience in office administration.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing, spreadsheet, database, and presentation applications.

  • Ability to multitask and work cooperatively with others.

  • Interpersonal and communication skills.

  • Planning and organization skills.

Preferred Education and Experience

  • Three or more years of support experience in progressively responsible positions within The Texas A&M University System (A&M System) or other higher education institution.

Preferred Knowledge, Skills, and Abilities:

  • Ability to cultivate and maintain professional working relationships with people of various backgrounds.

  • Comprehensive knowledge of business correspondence formatting, grammar, and punctuation.

  • Strong verbal and written communication skills.

  • Strong interpersonal and organizational skills.

  • Ability to work with sensitive information and maintain confidentiality.

Responsibilities

  • General Administrative Support- Participates in the planning and execution of administrative operations. Develops, evaluates, and monitors adherence to office procedures. Applies and interprets, and/or assists in implementing management policies or operating practices. Develops administrative and technical procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. May monitor compliance with policies and procedures. Coordinates the maintenance of files, records, office supplies, or equipment. Makes recommendations for process improvements, administrative changes, or new initiatives. Hires, trains and supervises student workers and support staff. May coordinate activities and assign work to student workers. Answers and directs phone calls. Performs word processing, desktop publishing, presentation, and data management activities, and assists staff with the use of these applications. Composes correspondence, reports, publications, and presentations, including editing and proofreading. Creates and maintains spreadsheets and databases. May perform mail services and deliver, pick up, or receive documents, supplies, equipment, or materials. Maintains office supplies and equipment, office reference materials, and online office materials.

  • Event Coordination- Coordinates meetings, seminars, and other special events and may provide on-site support. Organizes and schedules meetings, appointments, conferences, and travel. May set up meetings, seminars, and other special events to include facilities, equipment, and food.

  • Program Support- Provides administrative support to ensure efficient operation of the organization. Reviews documents for supervisor and attends meetings or committees on behalf of supervisor. Supports leadership and employees through a variety of administrative and clerical tasks related to the Energy Institute. Analyzes requirements for projects or initiatives. Provides technical information regarding administrative procedures, services, or programs. Performs special analyses and project summaries. Responsible for time sensitive material. Communicates efficiently and effectively via phone and email to ensure that all tasks are completed accurately and delivered with high quality and in a timely manner.
