The Department of Marketing at Mays Business School aims to advance our students' careers by understanding marketing strategy in a modern, rapidly changing business world. Our program emphasizes cutting-edge marketing concepts, tools, and techniques in real-world business settings. We're seeking an Administrative Coordinator with a passion for education and research. You'll provide teaching-related support for faculty, coordinate activities and logistics for research, and serve as the first point of contact for the Department of Marketing. You'll lead and coordinate efforts in areas such as:

  • Hiring student workers and graduate assistants

  • Ensuring parking access and availability for multiple stakeholders

  • Managing the Jeffrey Conant Behavioral Research Lab

  • Event planning and logistics

    Essential Duties/Tasks

  • Faculty Support Coordinator - Manages the teaching-related support for approximately 30 faculty members. Oversees others who prepare and print academic materials (such as exams). Works with Teaching Assistants to administer and/or set up the standard exam make-up process. Serves as the point of contact regarding records retention and oversees the retention process for Marketing faculty. Coordinates and administers the Faculty Teaching Assistant Pool workflow for direct faculty assistance with teaching and/or research related projects. Assists faculty with processing of Concur reimbursements. Hires, trains, and supervises student worker(s) for the faculty. Meets, analyzes, and ensures deadlines are met for the Faculty Teaching Assistant Pool. Reviews and makes recommendations for the Faculty Teaching Assistant Pool workflow and staff siz e. Audits the quality of work produced by student workers for faculty use and re-trains and/or adjusts processes, as needed. Creates training materials and/or procedures for student workers.

  • Behavioral Lab Manager - Manages the Jeffrey Conant Behavioral Research Lab to include logistics coordination and execution such as researcher requests, running studies that vary from Qualtrics, Media Lab, paper-and-pencil, exercise, food, and drink, etc. Coordinates the execution of research activities including establishing program standards and objectives. Provides technical information regarding the research program including administrative procedures and services. Directs logistical activities to promote the success of the programs. Creates, updates, and maintains research and participation spreadsheets and databases. Hires, trains and supervise all student workers and graduate assistants related to l ab support. Compiles and analyzes participation statistics each semester and other statistics as requested. Conducts all communications to researchers, professors, and students involved with the program. Works with research faculty to create report video to teaching faculty at the end of each semester. Creates a syllabus insert each semester. Creates the survey in Qualtrics for researchers.

  • Office Support Coordinator - Serves as first point of contact for the Department of Marketing. Coordinates, plans, and executes all administrative operations daily including front office activities, inventories of supplies, and supervision of student worker(s). Purchases office equipment and ensures material is in-stock. On occasion, delivers or pick-up documents, supplies, equipment, or other materials. Develops and communicates policies and procedures and serves as a resource for answering routine and complex questions regarding policies. Develops and ensures adherence to office procedures and modifies/recommends improvements for policies and procedures. Coordinates events, meetings, seminars for guests, and may provide on-site support. Coordinates travel and meal arrangements for guest speakers including faculty. Serves as Emergency Coordinator for the Marketing Department and back-up to the Executive Assistant. Serves as a Department Parking Representative (DPR) for the Marketing Department. Assigns parking codes, travel and business parking passes as needed in collaboration with TAMU Transportation. Checks out and maintains the parking log for business permits. Reviews documents for supervisor, attends meetings or committees on behalf of supervisor and may p erform other duties as assigned.

    Qualifications

Required Education and Experience:

  • Bachelor's degree or equivalent combination of education and experience.

  • Two years of office administration experience.

Required Knowledge, Skills, and Abilities:

  • Knowledge of word, spreadsheet, database, and presentation applications.

  • Interpersonal, communication, planning and organization skills.

Preferred Qualifications:

  • Event planning

  • Higher education experience

  • Some supervisory experience
