Description: The Accounting Specialist is responsible for various accounting tasks, including processing payroll, maintaining employee time records, monitoring capital outflow, and ensuring payment receipt for goods and services. Reporting to the President and serving on the Accounting team, this role contributes to the strategic direction of the organization.

Responsibilities:

  • Oversee and improve payroll and billing processes.
  • Verify expense reports and reconcile financial reports with account balances.
  • Facilitate vendor payments, verify federal ID numbers, review purchase orders, and resolve discrepancies.
  • Credit outstanding obligations upon payment, identify discount opportunities, and manage purchase order amendments or stop-payment orders.
  • Assist with accounting records and ledgers by reconciling monthly statements and transactions.
  • Manage petty cash documentation and distribution.
  • Prepare, post, verify, and record customer payments and transactions related to accounts receivable.
  • Create and submit invoices according to company practices.
  • Maintain and update customer files, including changes in information.
  • Generate reports on customer account status as requested.
  • Research customer discrepancies and past-due amounts.
  • Assist in generating monthly billing statements and reconciling revenue accounts.
  • Copy, file, and retrieve materials for accounts receivable as needed.
  • Relay changes of information to appropriate employees.
  • Enter, maintain, and process payroll system information, including compensation, time worked, paid leave, deductions, and withholdings.
  • Ensure proper processing of payroll deductions for taxes, benefits, and other contributions.
  • Reconcile payroll to the general ledger and monthly bank statements.
  • Issue or reissue physical or direct deposit checks due to payroll errors or final discharge.
  • Record and process federal and state payroll tax deposits.
  • Perform other related duties as assigned.

Qualifications:

  • Associate degree or higher in accounting or a related field.
  • 1-3 years of experience in billing, payroll, accounts payable, and accounts receivable.
  • Proficiency in QuickBooks, Microsoft Office Suite, Excel, Google Docs, and HRIS software.
  • Positive attitude, willingness to learn, and adaptability.
  • Exceptional communication and presentation skills.
  • Experience in a fast-paced, collaborative environment.
  • Successful completion of background check and drug screen.
  • US Citizen or Permanent Resident, eligible to work in the US, with a valid driver's license or state ID.
  • Proficiency in English.
  • Proven accounting, payroll, and billing experience.
  • Understanding of office management and accounting principles.
  • Ability to multi-task and adhere to deadlines.
  • Well-organized with a customer-oriented approach.
  • Excellent knowledge of MS Office, accounting software, and online application.
  • Excellent communication and interpersonal skills.
